Track customer credit balances

A customer double paid an invoice resulting in a credit balance for them.  They requested we do not issue a refund but apply it to future work.  How do I track this credit balance? We have 80+ active jobs so remembering customer "X" has a credit balance is not an option.

Thank you,

Track customer credit balances

Great to have you here in the Community, @Ana_Smart. I’ll help you with recording credit balances in QuickBooks Desktop (QBDT).

To enable us to track the credit balances of your customers, we can create a credit memo. This way, you’ll have the option to run a transaction list by customer report and keep track of their available credits.

Here's how you can create a credit memo:

  1. Go to the Customers menu and select Create Credit memos/Refunds.
  2. Choose the customer from the Customer:Job dropdown.
  3. Enter the items that you’re giving a credit.
  4. Select Save and Close.

To track the credit, let’s run a transaction list by customer report. Here’s how:

  1. Go to the Reports menu.
  2. Click Go to report or simply click the magnifying glass and enter Transaction List by Customer.
  3. If you only want to filter for one customer, click Customize.
  4. Filter the Dates to the dates you want to show on the Report period.
  5. Click Filter then select Customer.
  6. Select the customer you want to filter.
  7. Click Run report.

Furthermore, you can check out this article about applying credit memo to an invoice in QuickBooks Desktop: Give your customer a credit or refund in QuickBooks Desktop for Windows.

If you have any further questions about applying credits, please post them in this thread. I’m just one post away from assisting you. Have a great day!
