Here are important components that should be featured on all invoices.
The word “TAX INVOICE” should be in large letters, across the top of the document.
- Payer or Customer name and address
The company or individual customer who will be making the payment should be listed, along with their mailing address.
- Payee or Supplier name and address
The name of the person or company being paid (that’s you!) should be listed, along with your mailing address. Your email address may also suffice in place of a mailing address.
- Goods and Services Tax Registration Number
The supplier's GST registration number should be added below the address.
- GST / VAT / local tax in your country
If you charge a form of goods and services tax, you must issue a tax invoice that clearly states the amount of tax it includes. Iif you’re not charging tax, you’ll need to issue an invoice that clearly states “No GST has been charged”. It's also good practise to state the rate at which you are charging GST eg: 10%.
- Itemised list of goods or services
Description of the work that was done should be listed. For example, if the invoice is for a product or service, list the the product or service name, quantity, per-unit price and total price. If it is an hourly rate, add the number of hours worked.
- Invoice number or Identifying number
An invoice number helps keep invoices organised. Create an invoice number that goes up incrementally each time a new one is sent.
- Issue Date
A tax invoice should be issued within 30 days from the time of supply. Your customer may need to keep this tax invoice so they can claim as an expense.
- Payment terms
You should always state the date when payment is due eg: 14 days. You can establish your own payment terms, depending on your type of business and your customers.
