Hello Laura-Barrie
Thank you for your message.
We advise our customers they can access the data in a read only format for 12 months after the cancellation date. Sometimes it can be a bit more than this, but we always set the expectation of 12 months read only after cancellation.
You can export information out of the software, such as reports, lists and copies of individual transactions in .pdf format, and excel in cases such as reports to maintain the records for longer if required.

Does this apply to QB Desktop pro?
Thanks for checking in with us, Stuart-tps.
Once your QuickBooks Desktop Pro expired, you can still access the software and the company files you've created. However, your access to QuickBooks Desktop Payroll Services, Live Support, Online Backup, Online Banking, and other services through QuickBooks Desktop software will be discontinued. This also means you'll no longer receive critical security updates. If that happens You'll want to upgrade to the latest version so you have continuous access to your payroll.
To learn more about this one, check out this article: QuickBooks Desktop Support Only Subscription Discontinuation.
We're always here if you need clarifications about the service discontinuation process. Just leave a comment below and I'll get back to you. Have a great day ahead.
Don't forget to cancel your subscription or the system will auto renew your license later. Utilize the trial license of QBD 2021 to open the file if required. If you are using QBD 2019, you can purchase a one time license of it.
Recently cancelled my subscription, I would like to access my data - to export; however, I can not get to my data, I am stuck on the service plan types.
How can I get around this?
I'm here to ensure you can export your information, @TonyManolo.
QuickBooks Online will hold on to your data for up to a year. If you're using a trial version, you must export within 90 days after you cancel. If you're unable to export within the said period, you may have too much historical data stored in your browser. I'd suggest clearing your browser cache. This way, you access QuickBooks with a clean slate.
We can remove them in just a few easy steps. Let's start by accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:
If you can export your data, clear your browser's cache. You can also switch to a different supported browser to see if it has something to do with your browser.
You can also pick up where you left off if you decide to come back. To give you more insights about canceling QuickBooks account, please visit these links:

Did you run QB Desktop 2021 UK version?
Hi. I've just been on a chat with Intuit who told me that if I cancel my monthly subscription to Desktop Pro I will no longer be able to access any of the historical data. Is this correct? I have been using it for over 5 years and have some useful information e.g. Jobs Reports - parts lists, job profit & loss etc which would be useful going forward.
Which QB Desktop year version do you run? 2021 or older?
Do you have plans to migrate data to another brand or close your business?
I am using Desktop Pro 2020 Release R8P. I am migrating to other online accounting software.
You can purchase the one time license for QB Desktop 2020 UK version to access your archive file. You can also consider to purchase a 3rd party service to convert your data to another brand. Contact us in private for details.
Hello Amanda6168, thanks for commenting on this thread, if you cancel your desktop subscription you will have no access to your historical data. It could be a case of having to export all the data out of the account and saving it to a pc before cancelling your desktop account so that you can then access your data on the pc where you saved it all.
