Employees log in and out with the app and take photos of themselves as proof. How can we see those photos?

We think that someone is not logging out until she gets home, but we cannot check the photo she takes when logging out.

Hello, Oliver.

Good to have you back. I'd like to point out some information about checking the photos from the WorkZone app.

If your employees are using a kiosk to clock in and out, you'll want to check the device's gallery for the photos.

However if your employees are using WorkZone's mobile app in their own phones to clock in and out, check the main settings. Log in as an admin then check where the photos are saved, and how they should be saved.

Go to Payroll Settings, then select Employee Portal Settings. Open the Employees can clock in/out using WorkZone section, then check for the clock in/out configurations.

If you need more help, I'd also recommend contacting WorkZone's support.

I'll link this article in case you need some reference on using WorkZone with QuickBooks Online: WorkZone for QuickBooks Online Advanced Payroll

Need to run a P32 report to check your employee's tax data in the future? I'm sure you'll find this article helpful: P32 Report in QuickBooks Online Advanced Payroll

Please let me know if you have other concerns in managing your employees in QuickBooks Online. If you have other questions such as running payroll or pulling up a certain report, add the details to your reply. I'll ensure you'll be able to finish your tasks.

In Advanced Payroll there is no place in Employee portal settings where the location of the photos is visible.  So I cannot follow this advice.

"Employees can clock in/out using WorkZone

Capture employee photo when clocking in/out"

Clicking on these merely turns the feature off.

Thank you for the response and for providing us with more details about the concern you have about capturing employee photos, @Oliver.

You'll have to enable this feature from your Payroll Settings to enable to capture employee photos when clocking in/out using their smartphones. Follow the steps below:

  1. Go to Payroll Settings and then Employee Portal Settings.
  2. Set to Capture employee photo when clocking in/out.
  3. Click on Save once you're done.

For detailed guidance on how to enable WorkZone and capture employee photo when clocking in/out, refer to this article: WorkZone for QuickBooks Online Advanced Payroll.

In case you need to include an expense reimbursement for an employee in a pay run, see this article for more information: Add an employee expense to a pay run. It'll guide further on how to add an expense line to a pay run.

Let me know if you need further assistance checking the photos of your employees when logging out by leaving a reply below. Have a great rest of the day!

Yes. That has all been done.

However I want to see the photos and there is no option to do that, nor any option to see or set where they are stored as suggested by the first reply.

Nor do I know how to get into WorkZone itself as an administrator, since it must have been set up automatically when we chose to use Employee Portal Access. It doesn't accept my admin login from QB.

The documentation on the integration is sadly lacking.
