Auto Process Invoices & Reconcile with Bank

UK Based using quickbooks Self Employed in the app and web browser.

I understand the manual way to process an invoice by marking it paid by using the following steps.

Step 3: Process an invoice

After you get the invoice payment, mark it as paid.

If you use QuickBooks Payments, we do this for you automatically. If you use another payment processing service, you need to manually mark the invoice in QuickBooks:

  1. Go to Invoices.
  2. Find the invoice.
  3. Select the small arrow ▼ icon in the Action column.
  4. Select Mark as paid. If you're on a web browser, select Send to send your customer a copy of their paid invoice, or select Email if you're on the mobile app.

Is there a way like quickbooks does with Receipts where this process can happen automatically, for example, If I scan a £50 receipt from Company XYZ, when quickbooks connects to my bank it automatically reconciles the bank transaction of £50 to Company XYZ with the receipt and even allocates the receipt I scanned to that transaction.

Is there a way that it can do this with invoices, so if I sent Company ABC an invoice for £500, they then pay via Bank Transfer, quickbooks reconcile that transaction rather than me marking as paid etc.

At the moment, the bank is showing it coming in. I have to manually add that it's Business Income but it doesn't reconcile the transaction or mark the invoice as paid.

Auto Process Invoices & Reconcile with Bank

Hello X17HAA, thanks for reaching out to the QuickBooks Community

Invoice automation can be set up through our recuring transactions feature (available in QuickBooks Online Essentials, Plus, and Advanced) or through a 3rd party app (if you generate invoices on an external system).

Reconciliation can't be automated, but any transaction added or matched through a bank feed connected in QuickBooks will be marked as cleared (tentatively reconciled). This means that the transaction will be auto selected when you go to reconcile the account, making the process easier.

For further tips, see our guide on reconciling an account in QuickBooks Online. Thank you for contacting the Intuit QuickBooks Community for support today. We'll be around if you have any further questions.
