Hi- I've connected HSBC before and was fine, after a reconnect it duplicated my accounts. What can I do to undo but no lose original?

Hello there, @Charlie Pilkington.

I'll gladly guide you on what you need to do to remove a duplicate account without losing the original one in QuickBooks Online (QBO). This way, you can keep your chart of accounts organized and updated.

Based on your description, you may have created or established a new bank connection which causes your HSBC account to duplicate.

If the newly established HSBC account connection has no balance (0.00), you can disconnect it to online banking and then inactivate it to remove it from your list. Then, reconnect the original account.

However, if the duplicate HSBC account has transactions and balance amounts, you'll first have to disconnect it to Open Banking. Then, merge it to the original account so you can reconnect the appropriate one and avoid duplication.

To disconnect the duplicate HSBC bank account to Open Banking, here's how:

  1. Go to Bookkeeping, select Transactions, then select Bank transactions.
  2. Select the blue bank square for the bank account you need to disconnect.
  3. Click the Edit✎ icon, then select Edit account info.
  4. Select the Disconnect this account on save checkbox.
  5. Click Save and Closedisconnect-bank-account-in-quickbooks-online.gif

Once you're done, merge the duplicate HSBC account to the original one. Please note that this process is permanent, and you're unable to undo it after. To do this, here's how:

  1. Go to the Accounting menu.
  2. Select Chart of Accounts.
  3. Find the account you want to keep. Then, select the dropdown arrow under the Action column and choose Edit
  4. Note the name and detail type of the account. Check if the Is sub-account option is marked. If it is, take note of the parent account it's tied to.
  5. Now that you have all the info you need for the account you want to keep, go back to the Chart of Accounts page.
  6. Find the duplicate account (the one you won't keep). Then, select the dropdown arrow under the Action column and choose Edit.
  7. Change the Name and Detail Type so the duplicate account's info matches the account you want to keep exactly.
  8. Click Save and Close, then Yes to confirm.

You can check out this article to know more about merging duplicate accounts in QBO: Merge duplicate accounts, customers, and suppliers in QuickBooks Online.

After the processes above, you're now set to reconnect your original HSBC account. For the step-by-step guide, please refer to this article's Step 3 section: How to reauthorize your bank connection in QuickBooks Online.

Once connected, your most recent transactions automatically download. You'll have to categorise them, and in case you have duplicate ones, you can exclude them to keep your account updated. You can refer to this article for the complete details: Merge duplicate accounts, customers, and suppliers in QuickBooks Online.

Now that you've removed the duplicate HSBC account, I would encourage you to reconcile it every month. This helps you monitor all your transactions and detect any possible errors accordingly. For the step-by-step guide, please check out this article: Reconcile an account in QuickBooks Online.

Please feel free to let me know in the comments if you have other banking concerns or questions about managing transactions in QBO. I'll gladly help. Take care, and have a great day, @Charlie Pilkington.
