Quickbooks Online - Sales Orders

Hello

We are being forced to move away from QuickBooks Desktop, however, we use Sales Orders which automatically create a Purchase Order and an Invoice. This is an integral part of our business. When QB Online first came out I tried it but the lack of Sales Orders meant it was useless. I was told that they would be in the next update or were being looked at. I can't see that, in the intervening years, Sales Orders have been added to QB Online. Would other users agree with this or suggest other software?

Hello, Vicki at, Welcome to the Community, The Online package does not have sales orders however you can now in QB Online create an estimate which can be converted to a purchase order and invoice from the estimate.

I use 'Estimates' in Quickbooks Online for one of my clients and have edited an 'Estimate' template to show 'Sales Order Acknowledgement' and also 'Proforma Invoice' as the document header instead of 'Estimate' which works well... unfortunately the email sending them out still shows the word 'Estimate' in the narrative (see below) and we've received complaints from customers saying that they want confirmation of the actual price (the word 'estimate' still intimates that the price might change and not what you want when confirming an order).  A work around is to download the document pdf and send outside of QBO but not ideal.  (other suggestions gratefully received!):

Hello Alex17, thanks for posting on this thread, so having had a look it is working as designed there is no way to be able to remove the word estimate, you can leave it as feedback in the main cog wheel, the work around is what you have already said to in which to download it as a document pdf and send it outside of Quickbooks.

Yes - I have been looking for the last 3 years  and trialled many but they are very expensive or overly complicated and when QBO has inventory and sales invoices, it is frustrating sales orders are not available or you cannot allocate stock. Even QBO Advance will not have it.

Yes - I have left feedback repeatedly and so have others. 

 

If I move to Zoho inventory, I may as well go for it all!

I agree with the original poster.  The loss of sale orders are a big problem.  Estimates go to customer for that purpose... ESTIMATING... language, terms, obligations are all for initial customer estimates... This is for the process BEFORE a customer approves or agrees to a job.


When customers confirm a job, details are often adjusted, but then a confirmed SALES ORDER is issued... this has very different own terms, legal/liability language, instructions to the customer, and their signed consent to start work...  Furthermore, for any company that can have changes to jobs, tasks, or engineering specs mid job, the SALES ORDER portion of QB Desktop allows for a CHANGE MANAGEMENT document...

 

These are important documentation and order flow steps between an estimate (before a customer agrees to work) and the Invoice (which happens after)... Sales Orders control all the stuff in between...Sales orders drive/trigger parts ordered (PO's). Sales Orders create visibility on confirmed work/revenues. Sales Orders detail specific jobs taks. The loss of Sales Orders takes away a businesses ability to control, monitor, and value IN-PROCESS work...

 

Please enable SALES ORDERS in QB online...without it we will be forced to migrate away from quick-books, which we'd rather not do.

Hello All

 

It is interesting to see that there is no interest from Quickbooks in recognising this problem that I raised a year ago.

 

To summarise the "solutions" -

1.  subscribe to expensive additional software that you hope will seamlessly work with Quickbooks

2.  edit templates and send 'estimates' pretending to be sales orders outside of Quickbboks

 

Both solutions suggest to me that Quickbooks is the problem so do what I'm doing and move away from Quickbooks altogether. 

 

Unfortunately I have not found another online accounts package that does use Sales Orders but they are all a lot cheaper than Quickbooks and I am very annoyed that Intuit developers have ignored the many request for Sales Orders since they first introduced the online package. I have been a subscriber to Quickbooks Desktop since 2008 so I have a steep learning curve to acquaint myslf with new software but its a better feeling than continuing to support a company that ignores its customers.

I know one accounting app with this SO feature. They offer 6 plans and the feature is available starting from the 3rd plan at GBP 20/month for 5 users. You can purchase additional seats for GBP 2/month/user if required without upgrading your plan.

We run a solar installation business. We send estimates to everyone who inquires. We make Sales Orders from those estimates when we sell the project to track work that needs done. Then we generate invoices from the sales orders as the project progresses. Once the project is finalized and the final invoice is paid, we close out the sales order to show that the work has been completed in our system.

You should consider having a field service management app instead. I'm not sure which of these apps can be integrated with QBO UK version natively.

Having the same issue.

I cannot understand why QBO won't add Sales Orders to make everyone's life easier.

We had to add a software program specifically so we can create Sales Orders that our customers demand.

SOS Inventory at our accountants suggestion.  He has many clients having the same issue of the lack of Sales Orders in QBO and their lack of response to incorporate SO's into the system.

It does have everything QBO has PLUS Sales Orders.  Supposedly they 2 programs merge, but really contemplating sticking with SOS Inventory and dropping QBO since they really don't want to change and listen to their customers needs......

Have been using Zoho Inventory since November and really happy with the sales order and stock management.

We have to track batch numbers and use by dates and we had to use a spreadsheet for this - Zoho links with QBO for sales, purchases and stock. Reporting is not as strong as QBO - but the sales ordering is very good, templates are easy to customise for your own use (take note QBO!!!).
