Qbo switched payroll and now all historical payslips are unavailable and/or password protected

We appreciate your time posting here in the Community, Canadian Susan. I'm here to provide the urgent help you need so you'll have access to your historical paychecks again.

Last March 2024, QuickBooks Online (QBO) introduced a new and improved platform to replace the existing Standard Payroll offering. All previous data, forms, and reports will be securely transferred and accessible within QuickBooks Online Core Payroll (QBOCP).

For more detailed information about this transition, please visit this article: Introducing QuickBooks Core Payroll: upgrading your Standard Payroll experience in 2024.

Moreover, I suggest getting in touch with our support team to recover your historical paychecks. They have the right tools and resources to verify your account in a secure environment and further assist you in resolving this matter.

Here's how:

  1. Log in to QBO.
  2. Navigate to the Help (?) menu and select Contact Us.
  3. Type in your concern, then click Let's talk.
  4. Choose a way to connect with us.

Finally, check out these articles to gather ideas on managing employees's paychecks better while maintaining accurate financial records:

the info you provided does not address the problem
Our history is gone.  I cannot run any reports before this current payroll.
You keep referring to QBOCP - like it's an external website, when I click payroll I only see this current payroll. and the payroll module is exactly the same as it was.

I click on archive - again, only current, so where is my history!
I want you to answer the question here so that others in the same position can see the solution if you provide one.

UPDATE
I just found my history in a zip file.  But if I go to run a report in QBO for Calendar year 2024 the only payroll it will show is from July, it will be missing 6 months and then there's the P32's which I'm not even going to look at now, but that won't be in there either - how on earth did QBO think this was acceptable?

Where can we find the P32 report now - mine has no data if I run it for July?

Hi lisa_2603, thanks for joining this thread

Customers who have been migrated from Standard to Core Payroll will need to access any historical payroll data using the zip file, which includes P32 reports.

To access the zip file, go to Payroll - Payroll overview - Download payroll data - Get access to historical payroll data for your records.

Any payroll reports ran post-migration will only contain data from pay periods that have been ran on QBO Core Payroll.

Thanks again for reaching Intuit support. We'll be here if you need any further help.

I have issues too. The Nest contribution file exports as a .xls file. There is no option to change it to .csv as required by Nest. Why change something that worked perfectly well before. The gross to net report is also ridiculous. Too many columns.

I recognize the importance of being able to convert a file to its appropriate format, Andrew. Allow me to share some steps and information on accomplishing this process.

Please know that when exporting your Nest file from QuickBooks Online (QBO) the format will be saved as an .xls. In the meantime, I suggest converting it using Excel. Let me guide you through the process.

  1. Locate the Nest Contribution file (.xls).
  2. Open it using Excel.
  3. On your upper left part, click File, then Save As.
  4. Select a folder where you want to save the CSV file.
  5. A new window will show. From there on, edit its File name in the space provided.
  6. In the Save as type dropdown, select CSV (Comma delimited).
  7. Hit Save.

At the same time, you can also explore third-party applications that can help you achieve this process. To find one, here's how:

  1. Open your QBO account.
  2. Go to Apps, then Find Apps.
  3. Utilize the search field or Browse categories dropdown to locate one.

Please know that we're committed to providing our customers with the best experience while using QBO, which is why this transition is essential for enhancing security and accessibility features within the product. For additional information and updates, please refer to this article:  Introducing QuickBooks Core Payroll: upgrading your Standard Payroll experience in 2024.

Additionally, you can find this article helpful for learning about emailing and submitting important payroll information: Standard Payroll hub | QuickBooks Online.

Get back to me if you have other concerns regarding converting format types in QBO. I'll make sure to help you out anytime.

I thought that would be the response but I'd already tried that and it doesn't work as it saves the dates in the wrong format. What's more, all you've done is give me a work around to resolve a problem that Intuit have created. Can you just admit that this is a backward step and that it needs amending so that the file is created in .csv. Nest doesn't accept .xls files so clearly no one at Quickbooks realised that when they changed the formatting.

Hello there, Andrew.

The option to change into .csv file is unavailable. For the meantime, you can use a third-party application or convert the data manually into a CSV file.

On the other hand, I recommend sending feedback to our product developers. This way, they can further review which parts of the program need enhancements and consider adding them to future updates.

Here's how to submit feedback to QBO:

  1. Go to the Gear icon, then click Feedback.
  2. Enter your comments or product suggestions.
  3. Then select Next to submit feedback.

Once submitted, you can track your feature request through QuickBooks Online Feature Requests website.

Furthermore, you can check out this article to learn how to run basic reports in QuickBooks: Run reports in QuickBooks Online.

Let me know if you have further questions about converting format types in QBO. We in the Community are here to help.

My experience is that the migration from standard to core payroll is a disaster and the company doesn't care about its customers and their issues, just about getting as much money as possible from us. I have been told I have to have advanced payroll as the migration didn't work because one of my employees has changed NI letter. What a joke! Employees change NI letters all the time during a tax year. If your software is so poorly written that it cannot cope with such a minor change why did you insist on making us do the migration half way through a tax year? Why not wait until we are starting a new tax year and then do it? Then only giving us a month notice to make a manual switch to a "better" system by losing all our current data is ridiculous, saying you will not charge for 6 months, but then sending an email saying the charge will be £8 plus £1.30 per employee and asking me to sign up to agree to this and to agree to losing all my data. What choice do I have...... Extremely unhappy customer who has been with this company since the very early days of Quicken, not that they care.
