Change payroll schedule

I just ran my first payroll today to get everyone up to date for October. How do I now change the regular pay date to 6th of each month, starting 6th November, which is the correct regular pay date?

 

The edit option under Accounts & Settings > Payroll has gone?

Hi rjwbailey,

 

I agree that deleting the pay periods every time is not ideal. I would therefore recommend you to switch to PaySuite, as this will allow you to run more than one payroll at a time. I am not familiar with the Desktop payroll to compare, however PaySuite is the best option for anyone wanting to run multiple payrolls.

Can I just ask which payroll you are using?

 

If you click on employees on the left hand side if you are using Paysuite it will have powered by Paysuite in the top right otherwise it will be our Quickbooks Online Payroll

Thank you for confirming that.

 

To change the pay date on QuickBooks Online Payroll you will have to delete Octobers payroll so that you are able to edit the payroll settings again. To do this click the Employees tab and then select the period from the Payroll History section. On this screen click the Bin symbol. This will roll your payroll back to the first period. You can then press the Cog wheel and Account and Settings. On the Payroll tab you can change the Pay Schedule so the pay date is 6th of each month.


You will then need to run payroll again for Oct to get to Nov. When you make the submission to HMRC please select Correction to Previous Submission as the reason, so it overrides the one you have already done rather than duplicating.

 

If the payroll tab is no longer showing in account and settings I would recommend to use Google Chrome and to clear your cache and cookies. For more information on how to do this click here.

Thanks. I had the first regular pay date originally set to 6 Nov, it wouldn't then let me run an additional October payroll at all. Hence changing the date to 26 Oct.

So I guess I should set the first regular pay date to 6 Oct, run the additional payroll on 26 Oct and then the next regular pay date will be correctly set as 6 Nov?

 

What happens if I want to change the regular pay date in, say, a year's time though?

Yes, to run the payroll for October you would input 6th Oct as the pay date. In terms of changing the the pay date further down the line it would be the same process of deleting all pay periods until you are back at the beginning and then inputting the new pay date.

OK, I deleted the payroll - I also had to manually delete the journal from the ledger.

Changed the regular pay date to 6 Oct.

Re-ran the payroll for today.

I couldn't see any option to make the FPS a correction to previous submission, so I unchecked 'automatically submit to HMRC' in settings and have left the FPS un-submitted for now. I assume I can delete it somewhere?

The next regular payroll date is now correctly set for 6 Nov.

 

But how do I run multiple payrolls in a month in the future? The regular pay date is 6th of the month, but then in the last week of each month I often (not always) need to run additional pay runs for extra work undertaken etc. That is what I was doing today. The main payroll was run on 6th Oct (in QB desktop before I migrated) and today's payroll was additionals.

 

If I needed to do another October pay run, say, on Monday, the pay period is now set to November. How do I change in back to October to do another October pay run?

To skip the duplicate submission for Oct click the Taxes tab then Payroll Tax. You will see the submission on this page, click onto it and there will be a Bin symbol in the top right corner. Alternatively, scroll down on the submission and Reason for filing late will appear at the bottom of the screen.

 

At the moment you are not able to run more than one payroll at the same time on QuickBooks Online Payroll. We are working on implementing this at the moment, but unfortunately we do not have a time frame for this. We do have a different software called PaySuite where you can run multiple payrolls at the same time. To switch to PaySuite you can visit our contact page and give us a call, and one of our agents can raise the request for you.

 

If you want to change the pay date back to Oct, you would need to delete the pay period again and then change pay schedule in the settings.

Thanks, but constantly deleting the pay periods is not really a practical solution as I assume it will then delete all those previously entered payroll transactions from the P11/P32 reports etc? They certainly disappear from the payroll history screen, which is no good at all.

What I need is a payroll product that matches the functionality of QB desktop - which I have been using for the last 12 years - can PaySuite do that? I really need to able to run irregular pay runs in addition to the main payroll schedule.

It's rather disappointing to be constantly implored to switch from QB Desktop to Online, only to find the functionality of QB Online is so lacking compared to the desktop product!

So I spoke to support, but PaySuite doesn't allow multiple payrolls for the same employee. The feature only exists to pay different employees to different schedules. Nor does it allow unscheduled payroll.

 

So I guess that's the end of the road for me and QBO and I will be reverting back to the Desktop product unfortunately! There's just too much functionality missing from too many areas in QBO.

I totally agree with you. The functionality of payroll online is awful. I feel totally out of control when using it and frustrated that it is so limiting in what I can do. I had been using the HMRC Basic Payroll very happily for over 10 years and the only reason I started using QB was because I had more than 15 employees so had no choice in using another payroll system. I feel there is a ploy to make users migrate over to Paysuite, thus increasing costs for the employer, because basic functionality just isn't there in Payroll Online.
