Payroll reports

As we head towards another year end, is there any prospect of some more functional payroll reports being introduced? It's still a real pain to get summary of pay costs by employee, which is needed for many reasons, e.g. needing to split pay costs between directors and other employees as required under FRS105 final accounts.

P11 report is quite good, but has to be run individually for each employee and only covers the income tax year, not the company's financial year. Need to be able to customise this to run for all employees and a custom date range to match the company's financial year.

Gross to Net report is quite good but has to be run individually for each month and then the CSV files have to be manually concatenated to make an annual report for the company's financial year.

Drilling down into the general ledger pay account is quite good, but you can't access employees' names. The 'Name' field in the pay journal is not populated with the employee's name. The employee's name is in the 'Memo' field on each journal, but you can't get this feld in transaction reports.

Can we please have some decent, customisable payroll reports that can be run for both the income tax year and the company's own financial year?

Payroll reports

Hi there, richard96.

Right now, there isn't a customisable payroll report that shows the income tax year and the company's own financial. In the meantime, you can export the two reports to Excel, combine, and customise from there.

To export your reports to Excel, here's how:

  1. In the left menu, click Reports.
  2. Type in the report you'd need (P11 or Gross to net).
  3. Set the necessary filters.
  4. Select the Export icon at the top of the report.
  5. Choose Export to Excel.
  6. Save the file somewhere you can easily find, like your Downloads folder or your desktop.

I can see how having this feature available in QuickBooks would save your business' time. Our goal is to make QuickBooks Desktop the go-to software for small business owners, so we're always looking for ways to improve it. In the meantime, I encourage you to star our blog to keep up with any product updates or improvements on the online version:  QuickBooks Online Blog.

Excel is what I'm doing already - those 2 reports are only available in CSV format anyway.

Can someone please fix the bug where the Name field in journals is not populated in transaction reports? It's a major pain in all sorts of reports, not just pay costs analysis, because you can see the Name field in all transactions except journals.

Can anyone confirm if this payroll reporting issue is being/has been addressed?  I am having to produce a report of all staffing costs (gross pay, ER's NI, ER's pension costs) summarised by employee for my company's financial year, not the tax year, and cannot find any way to do it at all.

Any help would be much appreciated!

Payroll reports

I have some information to share with you about payroll reports, @Oil2341.

QuickBooks payroll reports are tax year based in compliance with HMRC. I know how convenient it is to produce a report for your company's financial year.

We hear your feedback and product suggestions to make the program better. I can send this idea personally. This way, our product developers or concerned team could take action to help improve your experience.

I’ve attached some resources to help you manage your payroll and reports in QuickBooks:

The workaround I use for this is to:

1. Run the 'Payroll details (gross to net)' report for each month in the financial year.

2. Concatenate the 12 monthly files together. Either by copy and paste or (if you're familiar with Windows Command Prompt) put the 12 files in an empty folder and execute 'copy *.csv report.csv' which will concatenate all the CSV files into a single file called report.csv.

3. Open report.csv in Excel and delete any duplicate header rows.

4. Then you have a data file you can use to produce reports!

A similar thing can be done running the P11 report for each employee, if you have a small number of employees. But I find with the 'Gross to Net' report it's easier to select just the months you want, i.e. those in the financial year you want!

Would be so good to get some decent reports from QuickBooks, but I see you got their standard stonewall response!

Thanks for your reply, however I'm not using QBO Advanced Payroll, just Standard, so unfortunately the links you sent me are of no use to me.
