Account not matching error when importing bills

I tried importing bills into QuickBooks Online and am getting an error message that the line accounts does not exist in QuickBooks. I have tried my best to match the account name to the account name in the QuickBooks Online chart of account but am still getting the error message. The data is being imported in csv format. Can anyone assist me please.

 

I have attached here a document that shows the error message from QuickBooks (Figure 1) and my chart of accounts (Figure 2)

 

Any help will be highly appreciated.

When uploading data to QBO, there are a few things you need to consider to ensure the import is successful. That said, you need to prepare your CSV file accurately and it must contain the following columns:

 

  • Bill no.
  • Supplier
  • Bill Date
  • Due Date
  • Account
  • Line Amount
  • Line Tax Code

 

To confirm, I suggest to review CSV file to check if there are any special characters or symbols, specifically on the names of the Suppliers. You can use the sample file as a guide and compare it with your data. If everything is fine, let's perform some basic-browser troubleshooting steps to determine if this due to a browser issue. 

 

To start, let's access your QBO account on an incognito mode to have a clean slate and prevent storing of cache files. This is a component of the browser that helps speed up the loading process when visiting websites but sometimes gets damaged which results in odd behaviour. Below are the keyboard shortcuts that you can use:

 

  • Google Chrome: Press CTRL + Shift + N.
  • Safari: Press Command + Shift + N.
  • Microsoft Edge: Press CTRL + Shift + N.
  • Mozilla Firefox: Press CTRL + Shift + P.

 

Once signed in, import the bills again. If this works, I highly suggest clearing the cache of your regular browser to eliminate the damaged files. If the same thing happens, I recommend using another supported browser or device. Might be that the current one you're using has a temporary issue with the website.

 

I also noticed that the document you're trying to attach was not successfully uploaded. To add this, I recommend editing your previous post or creating a new one and selecting the Insert Photo icon to add the file. Please see the screenshot for visual reference:

Account not matching error when importing bills

Hi We are having the same error while importing the bills. could not get this resolved via help > chat > or call back option. I think having sub accounts is causing the problem. Can QB find a way around for this issue and help us please. Journals have no problem importing though. We have done all the above suggested.

Hi there, PPP23. It seems to me the problem is the sub-accounts too. No worries, I can help you import them successfully.

It typically indicates an issue with the accounts you are trying to use. QuickBooks only allows to map the parent account when importing bill.

 

We can go the Chart of Accounts make the subaccounts as a parent accounts. This will help QuickBooks recognize and match the accounts accurately. Here's how you could do it:

 

  1. Go to the Gear icon and click Chart of accounts.
  2. Look for the sub-account and click the drop-down arrow besides View register.
  3. Select Edit.
  4. Uncheck the Is sub-account box.
  5. Hit Save and Close.

 

Once done, go back to your spreadsheet and add the account in the Account Name column. You can refer to the provided sample screenshot as a guide for the correct formatting.

Hi 

 

Thanks for your response below, I have tried as advised but still the import giving the same error. 

I have copy pasted the name from updated COA but still the import is not going through.

Hi PPP23, thanks for trying those steps.

 

An additional workaround that you could try would be to merge the existing account with a new COA that has not been marked as a sub-account previously. 

 

To do this, create a new account in your COA. Once saved, return to your COA list, and find the original account. Then:

 

  1. Select the dropdown ▼ in the Action column and then Edit.
  2. Change the Name and Detail Type so the original account's info matches the new account exactly.
  3. When you're ready, select Save and then Yes on the pop-up to confirm.

This merges the two accounts so you end up with one. QuickBooks moves past transactions from the duplicate to the account you want to keep. To see further info on merging accounts in QBO, click here. Once done, you can then re-attempt the data import.
