How do I mark a payment record P32 as paid? There are minus figures on payment record

Hi gcj1971,

Thanks fro your post. It's not possible to mark a p32 report as paid, are you referring to negative balances against a particular category on this report? šŸ§

When you click on the payroll tab on the main navigation bar do you get two other tabs that say payroll and employees if you do that is standard if you don't have any other tabs showing when you click on payroll then it is advanced payroll you have.

Could you just clarify which one you are using in your Quickbooks please.

Hello there, @gcj1971.

Thanks for getting back to us and, I appreciate the screenshot provided.

To better isolate the negative amount showing in your P32 report, let's review the set up of your employee and make sure it's correct. Since QuickBooks and P32 report will be based on the information set up of your employee.

However, if the employee's information is fine. Then it's normal to have a negative amount on the Net Income Tax and Amount Due. Also, the payments to HMRC don't reflect on the P32 report.

Here's an article that explains how P32 works: Employment Payment Record (P32) report for QuickBooks Online Standard Payroll.

In case you want to see your payroll liabilities, you can pull up the Balance Sheet report. Here's how:

  1. Go to the Reports tab.
  2. Under Business Overview select Balance Sheet.
  3. Filter the Report period.
  4. Click the Customise button and filter the necessary details you want to display.
  5. Hit Run report.

To know more about customizing reports, please check this article: Customise reports in QuickBooks Online.

I'm adding this article for future reference: QuickBooks Online Standard Payroll Hub. This page contains links for articles related to QuickBooks Standard Payroll, from Getting Started to Processing Pay Runs.

Iā€™m here to help you if you have other concerns. Take care and have a great rest of the day!
