Import Stock

I have an XL CSV file from Sage 50 of my 851 stock codes. When I try to import into QB it says I have to denote a "type" for each code when I map it. There is only the option of Service or non-inventory on the drop down and no option of "stock" as a type. Any ideas as everything else fine ? Thank you.

Hi there, @Geoff Rogers

I want to ensure you’re able to transfer the data from Sage to QuickBooks Online.

Let's turn on the inventory item feature before your import your file so that the item type will appear on the list in mapping your file.

Here's how:

  1. Go to Settings and select Account and settings.
  2. Choose the Sales tab.
  3. Select Edit ✎ in the Products and services section.
  4. Turn on Show Product/Service column on sales forms.
  5. Turn on both Track quantity and price/rate and Track inventory quantity on hand.
  6. Select Save and then Done.

For additional information about importing data in QBO, please refer to this article: Common questions about importing data to QuickBooks Online. This article also provides details on how to map the file formats into the QuickBooks system.

Also, our Community Contributors and Established Backers can share their best practices about the migration from another accounting system into QuickBooks.

After successfully importing your file, you can run reports such as Profit and Loss and other transaction reports to check if the data that was converted is accurate. This article will guide you through the steps: Run Reports.

Please let me know how it goes or if you have any other questions or concerns. I'm always here to help. Have a wonderful day!

Thank you for the swift reply. I have changed those settings online and will try to import again on Thursday as my data is at work on a hard drive. Rgds Geoff

This still does not work. After mapping it says it is ready to import HOWEVER it still wants a "type" selected and the only options from QB are Service or Non-inventory ????? Also it wants a quantity. I just want to add all my stock codes and many have zero stock. I thought this was meant to be easy and straight forward ???

Hello there, @Geoff Rogers.

Thanks for getting back on this thread. I'm here to assist you in importing your products and services to QuickBooks Online (QBO).

You'll want to double-check the formatting of your spreadsheet so it will import seamlessly. Here are some formatting tips:

  • Product/Service Name: 100 character limit. Avoid special characters. See the approved characters list for more info.
  • Income Account: You can't use sub-accounts.
  • Quantity as-of Date: Format like this: MM/DD/YYYY or DD/MM/YYYY
  • Income and Expense account: You can't use sub-accounts.

Moreover, just follow the steps below if you want to have a sample Excel file:

  1. Sign in to QuickBooks Online.
  2. Go to Settings ⚙, and select Import Data.
  3. Click Download a sample file and open the file.

Nonetheless, you can also see this format for your visual reference sample before trying to import your stock items:

After formatting your spreadsheet correctly, you can proceed to map the data and import it:

Finally, it will reflect in your Products and Services list like this:

Feel free to check out these guides for more information about importing your products and services into QBO:

Please keep me posted on how it goes in the comments below. If there's anything else you need in managing your business growth using QBO, I'm always here to provide additional assistance. Have a great day!

Thank you but I do NOT get the option of "Stock" under type. Also it will not allow import if quantity on hand is zero. I have successfully imported customers and suppliers but to be honest extremely disappointed with the lack of available fields for the data. If I can`t get the stock imported I`ll stick with Sage as after 2 days am already drustrated !

So basically what you are saying is that I will have to enter 851 stock codes manually ?

Thank you but subscription cancelled. Continuing with Sage. Until QB develop a correectly functioning feature to allow part ship of whole units in a manufacturing environment correctly linked to stock and purchase order processing then it won`t work for us. It clearly hasn`t been thought through thoroughly and is not suitable for manufacturing.
