Migrating to QB online from QB Desktop

We are looking at migrating to QB Online to QB Desktop but I'm struggling to understand a few things....

We are a product based company with about 5000 SKU's in our inventory.  Moving forward we will be using a third party app which links to QBO to manage our stock, but I need to know if our existing stock and historical transactions will be migrated over to QBO?

I signed up for a trial, but couldn't import my file as it is too large.  I don't seem to have the option of condensing it down (we use Premier Accountant Desktop version)

Can anyone help with this query?

Glad to have you back, @mattymoo,

We can't recommend a specific application to condense your data. Each tool has its own specifications and features which differs from one another.

You may browse the net to find any apps that works best with QuickBooks Desktop, or work with our developers to get recommendations.

We have a forum which is designed specifically for developers and users needing help with app integrations. Here you can find people who can assist you with reducing the file size of your company.

If there’s anything else I can do for you concerning your QuickBooks Desktop account, don’t hesitate to reach out again. I’d be glad to help. Wishing you continued success!

You came into the right place for support, mattymoo1.

Not all data in the desktop version can be imported into QuickBooks Online (QBO). Managing stock feature is available in QuickBooks Online Plus and Advanced versions.

I've got an article about import limitation for you to get a list of what's not converted in QBO: What to expect when you switch from QuickBooks Desktop to QuickBooks Online.

Also, I'l be leaving you with also a useful guide to help you through through the whole process of moving your QuickBooks Desktop file to QuickBooks Online.

I want to make sure your file conversion issue will be taken care of. I'll gladly help if there's anything else you need. Have a good day.

What do you mean you didn't have any option to condense it? How big is your data file size?

Another option, consider purchasing a 3rd party condensing service. I know that one of them provides an advanced version of the condense feature available in Quickbooks. You will get a fully usable data file with a reduced file size and all historical data (including inventory). Make a deal with the vendor that you will only pay the service if their condensed file is better than yours.

There are many 3rd party inventory management app in the market supporting QBO. As long as you have a budget to purchase it, you can make to sync it with your QBO.

Thanks for your reply

The condense data isn't showing up under the utilities option which is weird - should it be there or is it product dependant?  We use Premier Accountant 2020 UK version

We will be using a 3rd party inventory management system (CIN7) moving forward but historical transaction are not imported into their system and I can't afford to lose 7 years of stock sales history

Sorry managed to post that reply twice!  But also forgot to say that our file size is 1.06GB

Your company file is too large to export transactions to QBO server. As I mentioned earlier, consider purchasing a 3rd party condensing service. You may get benefits as follows:

1. Significantly reduced file size (expect a 40-75% reduction in size)

2. Remove inactive customers, vendors, items to stay under the 14,500 limit for Premier edition
