Hello, thesquire46.
I understand how important it is for you to prepare a Gift Aid report that is acceptable to the Her Majesty's Revenue and Customs (HMRC). Currently, a report like this isn't possible in QuickBooks Online.
As a workaround, run the Transaction List by Customer/Donor report and export it to Excel as described by my colleague above. You can then customize it according to the HRMC format.
Also, I encourage you to submit a product request within QuickBooks. Our product development team will review your request. They'll be the ones to include it in future updates after it's been approved.
Here's how:
In addition, I've included the following articles for more insights from recording transactions through running reports:
Let me know if you have further questions managing your Gift Aid claim. We're always here to help.

Currently, creating an HMRC gift aid report isn't possible in QuickBooks Online. You'll want to pull up a transaction list by customer/donor report and then export it to Excel as your workaround. Let me guide you how.

I raised this question over 2 years ago, can you please let me know what progress has been made in developing an appropriate form to accompany Gift Aid claims to the UK HMRC. I an aware of several Charities who have decided not to use your system because this is an important aspect of the running of a UK Charity. You could do better on this!

I agree that inability to customize reports to suit HMRC is major drawback causing me to regret my choice of QB. I am currently assessing alternative packages and will move from QB if right functionality is found.
I note that there is a column called "Donor Type" and yet no corresponding field. This could be a solution if we could group donors by type and separate Gift Aiders in the appropriate reports.
I have the same problem. In the desktop version I had a report that worked fine. I have just moved all of my clients to Quickbooks online and it is very frustrating that the reports do not work in the same way they did before. I will put in a request as mentioned above and hope someone will take notice.
I'm interested to know whether your development team have considered this problem for UK Charity Treasurers of sufficient importance to give some time developing a report appropriate for submission to the UK HMRC for Gift Aid claims.
Hello Thequire46, this has been passed onto our developers and it might be something that comes out in the future.
