I have customers who receive specific product discounts depending on quantity. I do not wish to apply discount to the whole estimate or invoice.

Can I apply a discount to a specific line item on an estimate and NOT the whole estimate ?

Hi there, @Geoff Rogers.

Thanks for posting your concern today. I'll provide some insight and steps on how you can add a discount per line item in QuickBooks Online (QBO).

Yes, you can apply a discount with fixed prices to your estimates or invoices. However, please note that you can only use this method for whole amounts, not percentages. To achieve this, you can add it as a line item to your sales forms that include a description of what the discount is for.

Let's start by creating a discount item:

  1. Go to Settings ⚙ and then Products and Services.
  2. Click the New button, then select Non-stock or Service for the type.
  3. Enter the name “Discount” in the Name field. If you want to create multiple discount items, give each discount a unique name so they're easy to tell apart.
  4. In the Sales price/rate section, enter the discount as a negative amount. Keep in mind that this is an amount and not a percentage.
  5. From the Income account ▼dropdown menu, choose the Discounts given account that QuickBooks created when you turned on the discount setting.
  6. Select an appropriate tax rate so that the discount is nontaxable.
  7. Once done, select Save and close.

After that, you can now proceed to add the discount item to your sales form. Here's how:

  1. Click the + New button, then select InvoiceEstimate, or Sales receipt.
  2. Add your products or services in the Product/Service column.
  3. Then, add the discount item you just created in the Product/Service column. You can adjust the discount if you need to, just make sure it's a negative amount.
  4. Fill out the necessary details of the form.
  5. Select Save and send or Save and close when you're ready.

Here's a sample screenshot of what it looks like after adding a discount to your sales forms:

For more information about this process, please refer to this article: Add a discount to an invoice or sales receipt.

Additionally, you can personalise the appearance by adding specific info that matters most to your business to your sales forms. Feel free to check out this article to learn more about the process: Customise invoices, estimates, and sales receipts in QuickBooks Online.

Please let me know how it goes after performing the steps above. I'm just a post away if you have any other concerns besides adding a discount to your sales forms in QBO. Have a great day ahead!

Can I apply a discount to a specific line item on an estimate and NOT the whole estimate ?

That is a very time consuming way of applying discounts to line items. I have some customers who for example get 5% on everything and some others who get 5% then special pricing on certain items. In Sage Line 50 I can change the discount % amount for each line item very easily in a Sales Order or Invoice. The method you describe means for a line item I have to manually calculate the amount for each line item. Not really very user friendly ! The only other way round it for me is to do 2 estimates or invoices. 1 for special price items and one for discounted items. Not a good solution.

Is this a function Quickbooks will consider adding as myself and many others have written about it time and time again. It is important and really crazy that we cannot do individual discounts per line item. Please consider fixing this...

Hi andrewmarsh1000, we agree this would be a handy function to have. Please raise any product requests or ideas over on our new QuickBooks Idea Exchange Board. We'll be reviewing all ideas here and if it gets to over 50 votes, we will review them with our Product team.

I understand you need to include the discount per line item within the estimate, @andrewmarsh. I can see the relevance and convenience of having this feature in QuickBooks Online. With that, I'll share the steps to submit feedback.

You have the option to apply a fixed-amount discount to your estimates or invoices, but it's important to remember that this method only allows for whole amounts, not percentages. To do this, you can include the discount as a separate line item on your sales forms, describing what the discount is for.

Since you are unable to access the link provided by my colleague above,  you raise your concern or send a request to our product developer within QuickBooks Online. This way, they'll see your suggestion and consider adding it to the next program update.

Follow the steps below:

1. You can go to the Gear icon.

2. Under the Profile column, press the Feedback button.

3. Write your product suggestion, then click Next.

Furthermore, our Product Development team receives your thoughtful comments (QBO) through the feature request tracking QuickBooks Online Feature Requests website.

There you go, @andrewmarsh. I'm excited to provide more information on any QuickBooks-related topic. Please add it in the comment section. May you have a great day.
