Why is my bank rule overridden when the payment amount coincidentally matches an invoice?

I have set up a rule which explicitly identifies a payment coming in according to the bank text. It happens to be for the same amount as an outstanding invoice which is nothing to do with it. Why does the rule not take priority when it is clearly something I have specifically set up for the purpose?

... and: when I tell QB I want to Categorise rather than Match it shows that a rule has been identified but it is not actually applied, the Category is not set and I have to select it manually, so it is no help.

Hello, opera.

Most of the time, unusual behavior caused by your browser becomes full of site data or data integrity issue. To rule this out, you can open your QuickBooks using an incognito or private window. This can help us rule out any cache-related issue that might've caused the problems. Use these shortcut keys to open it:

  • Google Chrome: Press CTRL + Shift + N.
  • Safari: Press Command + Shift + N.
  • Mozilla Firefox: Press CTRL + Shift + P.

If the steps above work, I suggest clearing your browser's cache to boost browser-related issues. Some stored data on your browser can impact the data being transmitted, thus causing some unusual responses. On the other hand, you can also use supported browsers as alternatives.

Additionally, you want to categorize your transactions to ensure your book is accurate in QBO. For the step-by-step guide, you can refer to this article: Categorize transactions in QuickBooks Online.

You’re always welcome to get back to me if you have other follow up questions managing your transactions or with your account. I’m only a few clicks away from you. Keep safe!

No: but I don't send out a lot of invoices and none are o/s now so I've not been bothered by it for a while. If it happens again I'll follow up.

We have the same issue.

When we are using Rules if the transaction has an exact match, the rules don't catch and instead, it suggests a match. There is no way that I can see to prioritize a rule over the auto-matching of a transaction with an open balance.

Thanks for joining the thread, User26.

Bank rules affecting transactions that don't match them are unusual behavior. For most general issues in QuickBooks Online, clearing your browser's cache will do the trick.

Beforehand, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

If it works, I recommend clearing your browser's cache as you may have accumulated too much historical data. This way, you can access QuickBooks with a clean slate. You can also use a different supported browser.

Otherwise, if you're still getting the same issue, I encourage you to reach out to our Customer Care Support team. They can take a closer look at this issue and raise a ticket to our engineering team, if necessary.

Here's how:

  1. Click the (?) Help icon in the upper right-hand corner of the Dashboard.
  2. Select Talk to a Human.
  3. Enter a short description of your concern and press Enter.
  4. Click I still need a human.
  5. Select Contact Us to connect with our live support.
  6. Choose Get a callback.

"Bank rules affecting transactions that don't match them are unusual behavior."

The issue is these bank transactions do match QBO transactions (via the dollar amount) but are not intended to match. QBO will only show the exact dollar amount match even though there's an auto add rule that should be running.

These tend to occur on reoccurring transactions. So a rule should be creating the 'transfer' for 100 but instead is showing the 'match' to a unrelated future bill for 100.
