We are a milk delivery business and generally most people have the same thing every week but at times people want to add or remove products. With over a thousand customers a week dont want to do the invoices weekly. Can anyone help me with this, i can do the recurring invoices but want to go in to the invoice without changing the whole thing or starting from scratch.
Consider to utilize the membership management app as a workaround to integrate with QBO. You can empower customers with a self-service portal to change their order anytime.
Hi Suzanne!
I'm glad that you took to the time to post in the Community today. I can imagine your challenge with invoicing, considering the number of customers you have.
I'd agree with creating a recurring invoice. You can actually make it like a general invoice template that contains all items you sell. Then, when you use it for a certain customer, just remove the items that he or she won't buy. Just set the Type as Unscheduled.
Feel free to visit us back in the Community if you have other questions with your invoice template.
Thank you for your reply. If its set as unscheduled it wont email every 4 weeks though will it ?
You're welcome, Suzanne!
Yes, you're right. The invoice won't be automatically emailed to your customers if the template is set to Unscheduled. Setting it as Scheduled (Auto-email) is actually not ideal for your scenario since your customers don't buy or add certain items. Besides, you can only create a few recurring invoice templates in QBO, and you have thousands of customers.

I'll be here if you have more questions.
Some times when I alter a recurring invoice it asks me if this is a one time only and not every time, any idea why ?
I've got an idea why QuickBooks asks you that prompt, Suzanne Silverwood.
If you're making many changes to an invoice, QuickBooks will ask if you want to reflect them to the template or not (only in the transaction you create).
You can choose Only this time if you don't want to change the template. Otherwise, select Update for all if you want to reflect the changes to the existing template.

Thank you but it doesnt ask me every time for some reason .
Hello Suzanne Silverwood, thanks for getting back to us so it is only happening on certain ones or does it do it to all of them just not all the time?
Hi
sorry for late reply. Its just random. Thank you x
Hello, Suzanne Silverwood.
I'm here to help you sort things out for you. In this scenario, It's possible this might be caused by a corrupted file cache stored in your browser, that's why you're unable to access nor create new invoices.
We can do some troubleshooting steps to rule this out. Let's open your QuickBooks Online account in an incognito or private browser. This mode will not save your browsing history and will also help isolate any web issues.
Here are the keyboard shortcuts:
If it works fine, you can go back to your regular browser and clear its cache. Clearing cache fixes certain problems, like loading or formatting issues on sites. It also helps pages to load faster. Please make sure to restart your browser afterwards.
You can also use a different supported browser as an alternate solution.
See this article for detailed guidance on how to create and manage this: How to create a recurring invoice and manage recurring transactions.
You can always update us after performing the steps as I want to ensure this is resolved for you. Have a great day!
The only thing i think works is if i schedule an invoice to run along time before its due then it asks if its a one off but then my customers that get emailed invoices get those invoices weeks early.
