I'll gladly share more details on how import tax works in QuickBooks Online(QBO), Britannia.

When recording a purchase from outside the United Kingdom (UK) in QBO, we can make a bill and select the appropriate expense account.

Here's how:

  1. Sign in to your QuickBooks Online account.
  2. Select + New then Bill.
  3. Choose a specific supplier, from the Supplier dropdown.
  4. Select the bill's terms, from the Terms dropdown.
  5. Enter the Bill date, Due date, and Bill no. as they're recorded on the bill.
  6. Enter the bill details in the Category details section. From the Category dropdown, select the expense account you use to track expense transactions. Then enter a description.
  7. Enter the Amount and tax.
  8. If you plan to bill a customer for the expense, select the Billable checkbox and enter their name in the Customer field.
  9. Once done, select Save and close.

For import tax, let's create a separate expense account and record the amount paid to the courier. As for claiming a refund for 100% import tax paid, you will need to consult with a tax professional or the appropriate government agency for guidance on eligibility and the process for claiming a refund.

After choosing the corresponding VAT code and when you are ready to submit your VAT return, you can consider utilizing this article since it contains detailed information on processing your return efficiently: Submit a VAT return to HMRC using MTD in QuickBooks Online.

Please let me know if you have additional questions regarding import tax, Britannia. We'll be around to assist you further.

Hi @britannia0305-ou

Further information please.  You mention that you sell goods to Japan & purchase goods from outside the UK.

Are these the same goods?

Do the goods come into the UK before being sent to Japan?

Where is the Import Tax being paid (UK/Japan/other)?
