You seem like you know what you're doing here and the limitations of QB desktop. Could you please help me to understand my QB desktop limitations before I find out I'm barking up the wrong tree and waste a ton of time?
Basically I have a Quickbooks Desktop Pro 2012 license installed on my Windows 11 PC. My company is a couple years new and I found out last year that I can't use the bank feeds feature (not sure why exactly, either QB desktop is too old or the Windows 11 system not compatible? prob both ha!) to automatically get the transactions in there. Since then I haven't found a solution. But I recall in my old bookkeeping days I was able to import transactions with a CSV file as long as it was formatted the right way. I purchased some 3rd party Excel extension thing one time and it worked like a charm going forward. Similarly, I am thinking I should be able to do this now with my company that has little complexity.
Essentially I just need QB desktop to record expenses, categorize and create reports - literally just a bookkeeping tool. So my question to you is, could I use my 2012 QB desktop pro software to simply do this? Or will I run into other pitfalls and is it best to find another solution? Since it refuses to connect to the internet, it could just be my antisocial bookkeeping software in it's own little corner.
In a nutshell, for my corporation's QB bookkeeping needs:
- I just need to import transactions from banks and credit cards (potentially via 3rd party CSV import)
- I'd like to have a multi-company relationship for my personal bookkeeping ('company' 2) and my corporation bookkeeping (company 1) with my corporation having a liability account for business expenses that were paid by me personally (in order to pay myself back)
- I will enter payroll runs manually for salary paid to myself
- run basic P&L and Balance Sheet reports

I also don't know how I ended up on the UK thread and I've been paying QB online monthly for no reason cuz I hate it and I've been stuck with this tedious predicament. Would love to get started and land this system go forward.
Sorry, I don't know anything about the QB App. I've been slowly winding my business down and I've chosen to stay with the more manual approach to things.
The loss of 'bank feed feature' MAY have something to do with the state of Internet Explorer on your computer. If you do not have IE, it probably will not connect to anything because the virtual IE agent available in MS Edge is not up to the task. I think it was not until the 2021 or 2022 version of QBP that Intuit eliminated this hurdle to online functionality. Your Win 11 system will NOT have IE installed; your Win 10 system may or may not have it.
That said, you should be able to import an Excel file (my 2015 version offers this under File\Utilities\Import\), which is easy enough once you receive a CSV file. You MAY have to 'save down' to an older version of Excel depending upon what you are using. My version will not receive CSV files directly; must convert to Excel.
You can create and maintain any number of companies you desire, BUT you may have only one of them open at a time. That can be a little bit of pain, but not insurmountable. If you install the program on two computers, then you can have company and personal books open simultaneously, but on two different machines. If one is a laptop and you have the desk space, it would be quite handy.
I did the "LLC Other Entity" when I set up my company 25 years ago. I don't 'get to do payroll.' <big grin>
I track expenses, track time for invoices, payments/receipts, bank accounts, and I created several custom reports to help with my Schedule E for taxes. And I do my own taxes, though I do not use the Intuit product.
As far as how 'we' go into the UK thread, beats me. If you'd not said that, I'd not have noticed. Alaska here!
QB Desktop UK version or US version?
If you were just providing numbers to your accountant, you can use whatever version you want and just print out and send to your accountant. Some people just use spreadsheet and the accountant will accept. I think the accountant wants to be able to work on my version and change how things are categorize, etc. I don’t believe it’s a reading for just getting numbers sake, It’s more that they want to be able to read my version of QuickBooks and work on it.
QB Desktop US version. Pro 2012 to be specific lol but I don't have other alternatives. I bought this years ago for a small bookkeeping side hustle and haven't dived in for ... 12 years now but I know it can come back to me. I hope I'm not getting too ahead of myself here. I'm currently trying to figure out what 3rd party software I can use to import bank transactions, CSV Excel or IIF. Any recommendations are appreciated!
You can use an importer tool. It's a $199 one time license and you can get $100 cashback to purchase it via a partner.

Another option, you can use the trial version of QBD 2022 to run the bank feed feature normally.
Very helpful thank you! Could you provide a link where I can download that Quickbooks Desktop 2022? Just to be clear it's for the US version. I only saw something for Quickbooks Desktop Enterprise 24.0 which I'm assuming is 2024 version.
