Trips

The new Trips feature is a great improvement on the old Mileage one.

 

But I don't get what the dates are for the 'fiscal year' shown by default? It doesn't correspond to the company's financial year. What is a 'fiscal year'?

 

It's good that we can customise the date selection now, but it's a bit laborious. It would be easier if we had options like in other reports, for 'this financial year', 'last financial year' etc, so we can quickly select the year we want. Or at least remember the last selection used, so we don't have to re-select the company's financial year manually each time.

Our program uses Fiscal Year (FY) as the default accounting period for tracking trips in QuickBooks Online. FY, is a 12-month period which companies or the government use for financial reporting and budgeting. Unlike the Calendar Year (default month is January), FY starts and ends at any point during the year. Say for example, from October 1 through September 30.

 

If you want to match the information on the Trips page to your financial period, use the Custom Date option. This will let you assign the date range that you want to review.

I understand what a fiscal year is generically, I just wondered what date range was being used in Trips, as it was not the same period as the company's financial year. From my testing the 'fiscal year' in Trips seems to be 7 April to 6 April, which is very odd. Maybe it was supposed to be the UK income tax year (6 April to 5 April) and yuor developers messed it up by 1 day?

 

As you say, I am using the custom date feature anyway to match to the client's financial year.

 

You really need to allow non-master admins to access Trips for it to be a success though. Telling those clients where I am not master admin that I can adjust anything on their ledger to solve their problems, but not adjust their mileage data, is really embarrassing.

Thanks for your quick response. I understand the need to allow non-master admins to access trips in QuickBooks Online. 

 

As a workaround, you can ask the master admin to change user permissions so you can access mileage and manage trips. Here's how: 

 

  1. Log in as the master admin of the account. 
  2. Go to the Settings menu, then select Manage Users
  3. In the Users tab, select a user and click Edit
  4. Under the User type drop-down, select Make master admin.
  5. In the window, select the Make master admin to confirm that you want to make the change. Then, sign out for the changes to take effect. 

 

Concerning the date of your trips, I'd recommend you contact our Customer Care team. They can check why your company's fiscal year didn't match with the default year in QuickBooks and help you fix it.
