Recording of mileage in QB

Hi, I’m preparing a new clients VAT return and am struggling to work out how to record her mileage for her vehicle in Quickbooks, so that the VAT can be reclaimed for fuel.

I need to post her fuel receipts which I gather without the VAT as can only claim the mileage used - does anyone know the process of how I do this please?!

Hi Howe2,

Thank you for getting back in touch.

It sounds like you are using Fuel Scale as our customers would normally record mileage via expenses rather than journal entries. At the moment we do not support fuel scale but you can have at look at this article for more information.

Please let me know if there is anything else I can help with. :)

Hi Howe2,

Welcome to the Community.

Can I please just confirm are you referring too Fuel Scale?

Hi EdwardR

I’m not entirely sure if it has been worked out through the fuel scale way, as the previous accountant has only advised me that she added the mileage to a journal and didn’t put the fuel receipts through the books? I have introduced Quickbooks to my client as she will need it for Making Tax Digital, so I’m trying to work out how to put her fuel consumption for work purposes through.

Thanks

Thanks for joining this thread, @dariajs.

I’d be delighted to share some information with you on how mileage expenses are being recorded in QuickBooks Self-Employed.

Car related expenses such as fuel, toll and parking fees can be categorized under Car, van and travel expenses.  Just a heads-up though, once you generate reports for this type of transactions it will be listed under disallowable. Since QuickBooks Self-Employed based the calculation on your mileage deduction not on the actual expenses.

For you to be guided properly on the best route to take in categorizing your income and expenses, I’d recommend consulting with your accountant.

Let me know how it works on your end. I’m always here to help you in tracking your car expenses and mileage QuickBooks.

Hello there, @mcbutler

Syncing your mileage data from app to desktop helps you easily track your trips so you'll have them ready when it comes to annual tax time. I understand how you feel when you're unable to perform this action. Rest assured that I'm here to share with you some browser steps so you can see your mileage data on the web.

A typical browser uses a cache of memory to work efficiently. However, as the data collects it, it might cause display issues. This could be the reason you're unable to view your trips on desktop.

To help fix this, you'll have to sign in to your QuickBooks Self-Employed (QBSE) account using a private browser. This helps isolate the issue since it doesn’t store data in the cache. Here are the keyboard shortcuts:

  • Command + Shift + N (Safari)
  • Ctrl + Shift + N (Google Chrome)
  • Ctrl + Shift + P (Internet Explorer or Mozilla Firefox)

From there, go back to the Miles page. If it works, let’s go back to your regular browser. Then, clear its cache to get a clean slate for your browser. This helps the program to function efficiently. You can also use other supported browsers if private browsing doesn’t work.

However, if you need to post a fresh thread on this forum, let's go to the Help menu. Both I and other QuickBooks users might be able to help you out. I'll walk you through the steps.

  1. Select the Help menu at the upper right.
  2. Choose Contact Us.
  3. Type in your concern in the Ask a question field.
  4. Click Continue.
  5. In the Choose a way to connect with us section, click Post a question
  6. Enter your concern again and click Continue

The screenshot below shows you the fifth step.

I'm also adding this link for you: Mileage Topics. This is a resource hub on how you can troubleshoot mileage tracking issues on the app and on the web version of QBSE.

Please know that both I and the Community are always available to help if you have other concerns. Take care always, @mcbutler

Hello and thank you for the comprehensive reply, I appreciate your time.

Regarding posting a question, after clicking 'contact' (there is no 'contact us' button) at the bottom of the help page I arrive at https://quickbooks.intuit.com/uk/contact/

I cannot find  the 'ask a question' link you mention here? so cannot proceed.

I tried the 'connect to an expert via support''page but I don't think that posted anything on the forum!

My biggest problem now as a property based business is the entering of UK Buy to Let mortgage interest. If I enter it as 'loan interest' it does not give the correct tax allowance against the payment!
