Can someone tell me how to access the condense data utility in QB2020 desktop - UK version?
The web says it should be under File -> Utilities but it is not there.
Thanks in advance
Rod

Thanks for posting a question here in the Community, @RodCorderey.
Currently, the option to condense data is only available in QuickBooks US products.
I recognize your need for this feature, and I'm taking note of it so I can pass it along to our Product developers. This way, they can consider adding this feature in the future QuickBooks release.
While there's no exact time on when this will become available, you can check out this site for tutorials and this help article on how to manage expenses, income, inventory, run your reports, etc.:

Consider purchasing a 3rd party condense service
thanks for the response, I'll have a look also at the developers tool kit
The UK version used to have a condense/ archive why was it removed ? I have bought this software since 2004
It seems that the UK version has many failings.
We had to go to qb2020 because Intuit scrapped without notice our licence of QB2006 and wouldn't supply QB2019, and would only supply QB2020 on subscription taking us from a full paid licence to £300 per year subscription.
but....
we now find QB2020 desktop UK cannot connect directly to our bank Nat West, we can't directly connect to our credit card providers and each time I've got a how to document it is either QB online or QB US not QB UK and the recommended approach doesn't exist in the UK version
Like you we've used Quickbooks for a very long time having moved from Quicken through three versions of QuickBooks and in all that time UK has been the poor relation as far as Intuit are concerned
so welcome to the club. :(
Hi Rod thanks for that. we used Quickbooks desktop for our payrole and they anounced that after April 1st they would no longer support payrole so we had no option but to use the on-line version. We have paid £120 a month for the desktop version which included payrole and on-line help. I feel we were miss-sold the product as they changed the product without a viable alternative. We are trying to regroup through this world epidemic. And they are not pulling thier weight. Bet their garages are full of toilet rolls. Heres hoping some one is on the side of the loyal customers. Any pointers you give are gratefully recieved.
Hello, @DJH4.
I understand how difficult it can be at a time like this and appreciate the effort you're putting in to keep your business going while we're facing this time of uncertainty.
That being said, you can read through these articles to help you set up payroll in QuickBooks:
You can always get back to us whenever you need help you with your QuickBooks account. We're always here to back you. Have a great day and stay safe.
Hi we have set the payrole up in quickbooks on-line. So I am now faced with using both versions of Quickbooks. As I said I have too many targets to import my data into the on-line version. By law I am only abliged to keep 6 years of books. Why did you remove the archive feature ? what is the work around.
Hello DJH4,
The reason why they removed the archive feature is that it was due to not working very well. The only workaround for it is if you cant migrate due to the sheer volume of targets is to create an opening balance in QuickBooks online without historical data, however that data will still be stored and present on your desktop company file.
Hello Ashleigh1
The American version of the archive feature is there and works fine. So it's coded and works. The difference in currencys wont effect things. Maybe there are charging the UK licencees too much for the feature.
Yes I have opened up a balance on the on-line version. But without any historical data I can't see who owes me money or what suppliers I need to pay. So are you suggesting that I need to keep two sets of books running ? I only need two years of Historical data in the on-line version. How is this not possible?
I have paid extra for support for the past years. So waisted money. I think I was miss-sold.
There is a world wide pandemic everyone is doing their bit and going the extra mile and you lot cant even do what I paid for. Please escalate this to someone who cares. D
I appreciate you for posting here in the Community, @DJH4.
I can provide clarifications about migrating data from the Desktop version. Currently, there's no limit to the amount of data you can enter in QuickBooks Online.
As long as you meet you meet the conversion requirements, you should be able to move along with your historical data. If you need further assistance performing the process, we have our Data Services team who can help you with the migration.
If interested, please don't hesitate to send a general message about your concern. For the detailed instructions, you can visit this article: QuickBooks Data Services FAQ.
Additionally, here are some helpful references that you can check out about how your data will be converted to the new platform, as well as the complete guide of the process:

Hi I contacted the data people a week last Wednesday
Case Number: [removed]
PIN: uw1WqbqS
They remotley accsessed my laptop and took my data. They said they would upload it for me and I would hear from them. I have not heard anything since. I have used the live chat feature and keep getting told they are on with it. All I need is a date when it will be completed. This is prooving impossible to get.
I cannot get to the desktop version of QB as it is at work. And I am working from home. I need to send out invoices and pay suppliers. Please advise.
I wish I could make it better, @DJH4.
Here in the Community, we're unable to pull up any account information related to your company and we're also able to provide the turn around time of any request associated with it. With this, you'll to manually check the status of the conversion of your company data.
To do so, you can check the Data Services Customer Status Information link found in this article: QuickBooks Data Services FAQ.
Lastly, here's an article you can read for ideas about the limitation of your company data conversion: What to expect when you switch from QuickBooks Desktop to QuickBooks Online?
If there's anything else that I can help you with, let me know in the comments. I'll be around ready to help.
Do you know of a 3rd party condenser that wont break my bank. I ma being quoted 105k to do it.
Hi Rod,
We used Movemybooks.co.uk and they did it all automatically and it didn't take very long at all.
https://www.movemybooks.co.uk/
They're quite cheap as well :)
Hope this helps!
We have a lot of data that move my books wont do. Eg foreign currency ao we need it to be condensed and moved over by quickbooks.
Why do you need to condense the data file? Do you want switching to QBO UK version or else?
Yes from quickbooks desktop to online uk and the file is too large so it will not move over
The option to condense data is only available with QuickBooks US products.
That should not stop you, however, from condensing files that are old or larger than 1GB in size. Third party service providers offer a service known as QuickBooks SuperCondense which is an advanced version of the condense utility and that will significantly reduce the file size of your QuickBooks data file.
SuperCondensing a file reduces the target count to under 350,000 making the transition to QuickBooks Online seamless. It further boosts responsiveness and performance, provides higher network stability and makes your file lesser prone to data corruption issues. Furthermore, this service reduces your file size up to 80%, allowing for the upgrade to newer versions faster and easier.
Using this service will not result in any loss of data and you will get a fully usable data file with a reduced file size.
PM if you need any more information.
Super condense quoted me $1,500 to do it. Are there not anything cheaper?
You may ask the service provider as mentoned by DJH4. I noticed the cost starts from GBP 180. Let me know if they are unable to migrate your data.
Seems to be the approximate rate that most of the 3rd parties charge...
