What actually happens after 31st January 2023 to my QuickBooks Desktop product?

I've also done this a few times, when it downloads it appears to recognise that there is a current licence and opens as normal, allows input etc. We've tried it on a pc without the software and it won't open at all. I am worried that we can't test this properly and that we won't be able to supply clients needs as and when required in the future. I am now contemplating extracting copy invoices, reports etc in the format likely to be required by client & HMRC (they will expect us to be able to supply detail). This is going to take us the available 3 months we have left. We are not a happy camp!

That is worrying that you can't use the data read if it can't find a current licence on the PC.  What if a new PC is bought?  I don't think (but don't quote me) that when you install your QBDT version onto a new system that you can input your licence.  I could well be wrong, but if this is so, what would then happen?

Hello SheilaMcC, thanks for posting on this thread,  the read only export tool should work regardless of whether or not you have a license on the Computer. What are you downloading and opening? You click on the link and open the file. You must be doing something wrong to get that.

I did exactly the same. Uploaded the data file and downloaded on a laptop without QuickBooks installed. It failed. We tried it on another machine and again it didn't open at all. Tried again with the laptop with the software installed and it opened but as the current file, allowing me to input etc. 

We are more than a bit concerned. The client in question are manufacturing software developers so not exactly IT novices.

My company is not VAT registered and we use Quickbooks as a simple bookkeeping program (I know, using a hammer to crack an egg).

The version we have is Premier 2018. We do not use the program for payroll, VAT or any other interactive role.

 

Can we still continue to use the program simply for bookkeeping or will it cease to work at all?

They said the program won't work after June but I don't believe it. I would recommend converting your data to QBO in early June and contacting Intuit to get the activation code for your QB Desktop license now for your insurance.

I can see the advantage of having access to QuickBooks Desktop (QBDT) after the 30th of June 2023. However, due to the QBDT service discontinuation, it will no longer work even if you're only using it for bookkeeping. To ensure that you'll get to secure your data, I recommend following what @Fiat Lux - ASIA has suggested.

If you have the old version that is a buy and pay once only and not a monthly subscription you will be fine to continue. If you have been paying a monthly subscription you will not be able to access it after 30.06.31. All you can have after 30.06.23 is to you the access tool that uploads your data file and downloads it back with a limited period of ability to extract reports. Not the reports you want but the reports that Intuit thinks you can have. 

Cessation means Cessation, end not longer there.

Can anyone advise exactly how they will cease the service ?

 

If I were to run in a VM , with internet access switched off , and keep system date as before 30/06/2023 how exactly will Intuit prevent me from keeping using it ?

Does it have a built in kill switch (which means it periodically has to check in with HQ)?

 

I will not be able to use MTD of course (but I can find another way to submit VAT using spreadsheets and bridging software) , and will receive zero support . 

 

But might be enough to keep me running?

I'm pretty sure that's a no. I understand that you will not be able to open the software. You can only upload your data file from the link, then download it and it opens the software and that then gives you very limited options to extract reports. You won't even be able to print a copy invoice. Anything you are likely to need - such as invoices - you will need to extract yourself before 30.06.23. It looks like the licence has a date stamp installed and that will stop you using it. 

Don't forget this is the same software supplier that ceased to supply payroll and the files for that had to be extracted by a deadline date. Those reports extracted as a zip file that Intuit/QuickBooks called UKDataDump. These reports were useless and HMRC appeared to be very aware of the issue. That I'm afraid sums this whole scenario up, ceases means dead.

What is the latest on retaining access to old data? I have transitioned from Quickbooks Pro 2020 to QB Online Advanced, and am currently paying subs for both although I am no longer using QB Pro. Do I need to do things now to retain access to data after 30th June?

Thanks for using QuickBooks to keep tracking your business transactions, @waremark. I know how important it is to retain access to your data. Let me help you with that.

 

Since you are no longer utilizing your QuickBooks Desktop Pro 2020. You can export your data from the Desktop version to QuickBooks Online to maintain access to your data. 

 

Before you get started, rename your file on the old computer to avoid using the incorrect file. To do this, create a backup and restore your file by performing the steps below: 

 

  1. Create a backup of your file on your computer.
  2. Copy the backup file to your QuickBooks Desktop (QBDT) using, either a flash drive or through a network if the computers are connected.
  3. Follow the steps to restore the backup on your new computer. Remember, it should have a unique file name. 

 

Once done, you can now view and export your reports. Follow the steps below. 

 

  1. Sign in with your Intuit Account.
  2. Upload your QuickBooks Desktop company file.
  3. Once you’re done, sign in to your company file to view and export your reports.

To ensure that you'll get to secure your data, you can follow Fiat Lux - ASIA's suggestion to use a third-party app that can help convert your converted data with a third-party tool or purchase a third-party conversion service. Also, you can use the data export tool. It helps download your company data onto your computer for safekeeping.

I too have found QuickBooks Online Advanced purely by chance. Astonishing, considering our commenting and complaining that there was no viable replacement for Desktop Professional/Accountant. There was nothing relating to this as recently as the end of March. I have been a QuickBooks Advisor for 20 years yet not a single indication about this software or that it was even being developed. Advanced is the answer to our concerns, it does part deliveries of purchases without having to re-input the remaining order - something Online did not do. It has projects that link to the customer and costs for purchases. It allows time to be input to the project without needing payroll. Expenses are an actual thing! I have a client who went to Sage in April and is now transferring to Advanced. I have renewed faith in QuickBooks but not Intuit or it's management. If they have been listening to us why not launch this product with fanfare? 

With regard to Desktop after 30.06.23 I believe although absolutely no one has confirmed this, the extraction tool will not have a cost. But do be warned I understand you cannot get copies of your sales invoices, all you get are limited reports - no choice - and it is for 7 years only. Not the read only access at a one off licence cost that we were originally promised.

@ell281I've seen you mention this before about PO's being delivered in batches and how this can't be done in QBO. I can be done I've been doing it for the last year or more. It's a bit clunky but a part delivery will still leave the balance of a separate suppliers invoice.
But, QBO Advanced, just looks the same unpolished product with one additional ability that you can backup and restore. I bet you 100% stupid things like missing logos on PO's and Statement are still the same. It's a shame they have decided to charge even more for a product they can't get even right with the basics.

I will have to check that out but that is actually quite annoying, having spent many man hours installing and integrating an alternative system.

Any list limits? eg. customer list limits?

QB-UK was 10K limit.

Cloud based should remove such arbitrary limits, in theory..

Ah ok got ya. The split delivery thing was why I didn’t use QBO when I tried it about 10 years ago. It was also the reason I ended up using QBO because xero is exactly the same with terrible stock handling. Sort of worse of two evils.

I agree Mark, that's why the one client ended up with Sage. Never been a fan, clunky & unforgiving but it was doing the job. I am relieved I found Advanced now and not later down the line, at least it's only a month's worth to re-input and Desktop still in it's entirety so we were able to extract everything outstanding as at YE 31.03.23. A slog but everyone's happy. I just don't understand why no one from Intuit mentioned Advance was coming let alone when it became available. Whoever monitors these posts can't have been informing those higher up what was being said.

Becuase they don't care. That is all I can put it down to. They don't care what we think, suggest or otherwise.

 

If they did care they would be engaging with their clients, not just ignoring us and ploughing on ahead regardless of their direction be it worng or right.

Our software must have updated today and we can no longer access QB with the message "Quickbooks Desktop is no longer available", the end date was supposed to be June 30th.

Anyone else experiencing this?

Thanks Ashleigh, we were already speaking with chat support so we continued with that.  It took a long time (~2hrs) but it was resolved in the end.  We noted that the expiration date of the software was showing 01 June, even though we opened the software fine on the 1st, 2nd and earlier today.  Not sure if there was an update  today to cause this, but assume you'll know better.
