I've marked an invoice paid by mistake how do I reverse this?

Hi andywrightacl-gm!

You can simply delete the payment. I'm here to show you how to do it.

Once deleted, the invoice will be marked as unpaid agian. Please follow these steps on how to delete it:

  1. Go to the Sales menu, then find and open the payment transaction.
  2. Select More in the footer.
  3. Click Delete.

If you can't find the payment entry, simply open the invoice and click the payment made hyperlink under the PAID status.

Also, you'll want to check these articles on how to search and edit a transaction in QuickBooks Online:

In addition, you'll want to connect your bank so that once the transactions are downloaded, you can simply categorise and match them.

Leave a comment below if you need anything else. Take care always!

It's deleted the whole invoice now not just the payment.

Thanks for getting back to us, @andywrightacl-gm.

I appreciate you following the steps shared by my colleague above. Allow me to join the conversation and provide additional information managing invoices in QuickBooks Online (QBO).

To start, may I know how did you delete the invoice? The steps shared by my colleague above should help you delete the payment and mark the invoice as unpaid again.

If you'd like to recreate the invoice, just click the + New option at the upper left then select Invoice. If you don't know the details to enter, we can go to the Audit Log and look for the deleted one for reference.

Here's how:

  1. In QBO, go to the Gear icon at the upper right.
  2. Select Audit log.
  3. Use the fields on the page to choose the appropriate UserDate, or Events filter to narrow the results.

To know more about managing and using Audit Log in QBO, please check out this article: Use the audit log in QuickBooks Online.

You can also visit our website to check for tips and other resources for future reference: Self-help articles.

I'll be around if you need help with invoices or anything else in QBO. Have a wonderful day.
