Is there a way to bulk close purchase orders? I have been using Receipt Bank to enter my purchases but this doesn't pick up the PO on QBO so I have a large amt open?

Hello there, Bookkeeping5.

 

We're unable to close them by bulk. You'll have to manually open each transaction and close it. 

 

I'll guide you with the easy steps.

 

First, let's pull up all purchase orders. Here's how:

  1. Click the Magnifying glass icon, then click Advanced Search.
  2. Click the Search drop-down arrow, then choose Purchase Orders.
  3. Click Search

Once you can view all purchase orders, you can now close them one by one. Here's how:

  1. Choose one transaction, then click to open it. 
  2. Under the Supplier name, click the Open drop-down arrow.
  3. Click the Purchase Order status drop-down arrow, then choose Closed.
  4. Click Save and close.

You can continue doing these steps until you're done closing them.

Are there any 3rd party apps to bulk close PO's in QBO?

 

Just took over books for a small business and they have 8700 open PO's going back to 2010

 

Closing them one by one would be cumbersome

I'm unable to recommend a specific app. However, let me guide you to our Intuit Marketplace and find one that works for your business.

 

There are a few apps that integrate with QuickBooks Online (QBO) that allows you to close bulk purchase orders. You're able view available third-party applications by following these steps:

  1. Sign in to your QBO account.
  2. From the left panel, choose Apps.
  3. Enter a keyword in the search bar.
  4. Press Enter on your keyboard.

This is something that I also like to be added in our system. I'll surely share your concern to our management team. They'll help us submit this to our software developers. This will be assessed and might be included in future updates.

Has there been any update on this?  It seems like something that we should be able to do within our Accountant's tools.

As of now, we don't have a specific time frame as to when this feature will be available in QuickBooks Online (QBO).

 

However, you'll want to consider looking for a third-party app that syncs with QBO and lets you close your bulk purchase orders. You can refer to the steps provided by my colleague JaneD above in looking for an app.

 

In the meantime, I encourage checking our QuickBooks Blog UK page regularly to stay current of the latest news and updates in QBO. Once there, click the Newsletter signup button and enter your email address. Then simply click Subscribe.

I am not sure if this has been answered but for future users, you can close out bulk purchase orders by following these steps:

1. Select the Vendors tab.

2. Select Bill Tracker.

3. In the Type tab, select Purchase Order.

4. In the Status tab, select Open.

5. Select P.O.'s you would like to close.

6. On the bottom left of page, select Batch Action (Close).

Welcome and thank you for visiting the Community! I'll help by sharing information about closing purchase orders.

 

I understand that closing purchase orders in batches will speed up your work. However, this option is not available in QuickBooks Online. You will want to go through each of them to mark them as Closed.

 

 

On the other hand, you may want to check about running purchase order reports for your additional reference.
