The answer I was looking for...and pieced and parted the feed together to come up with this!
It took me a while, but I did eventually find the "Upload" button using my accountant user access. From QBOnline Accountant, select Clients. All clients that have added you as an accountant should be displayed. Search for your client that you want to share a document with. Do NOT select them from the drop down menu and do not click on the QB icon as it by-passes the screen you need.
Click the actual name of the client in your list, in the example "Client Company Na.." is what you need to click on.
That will take you to the client information screen.
From there, click on the Shared Documents tab and the Upload button will be available. It is not available IF you are in the clients books. Once you have shared something, then yes, you can see it from the clients books and it mirrors this screen now. As an accountant though, you have to upload something first for it to be available.
In QBO and QBSE there are no files to share
you invite the accountant to log in and use your account
Hello Zom
Welcome to the Community!
On QuickBooks Self Employed there is not a file sharing option.
However it is available in QuickBooks Online. As long as you have your accountant added as accountant user and the accountant has an accountant portal as well as being able to view your QuickBooks Online file you can also upload files to share with them.
If you go to my accountant on the left hand side>shared documents>upload
When you upload this will appear in the accountants profile under work and they can view and reply and send a request back to you or send a file to you and it will show in your my accountant section
Any questions let us know
Thanks
Emma
So if I want to share files via email it would be best to switch to Quickbooks online? Is that right?
Many thanks,
Zoë
Hello Zoe,
You can email the reports directly to your accountant by selecting the drop down arrow next to View/Download. My colleague was referring to the function of sharing documents within the product - this is only available in Online.
Thanks,
Talia
Hi, I am having problems uploading shared documents within My Accountant. It takes 3 to 4 attempts of uploading the same document before it actually appears in the list. I have tried using the QBO Windows app, and on multiple browsers (Chrome and Edge), and on multiple computers. I have tried clearing the cache and app data, but the problem persists.
It is very frustrating when I have hundreds of documents to upload, to have to them one at a time, multiple times each before they upload successfully.
How to resolve this problem?
Hi there, hellohello.
I understand that you need to let your accountant see your files.
You don't have to manually share your company data with your accountant if you're using QuickBooks Online. All you have to do is invite them so they'll have access to your account. This lets them review your books, make corrections, and fix any tricky transactions within QuickBooks.
If you haven't yet, here's how to send an invitation:
You'll want to check this link for more details: Invite an accountant to review your accounting in QuickBooks Online.
I'll be here if you need more help. We're open 24/7.
Can an accountant sent documents to the client? I don't have the upload options in My Accountant on the left side menu.
Yes, you can definitely send documents to your clients, atsdeeann.
You can go to the Shared documents tab and upload the files from there. This way, you'll be able to easily share important documents with your client. I'll show you how to do it:
Once done, please have your client head to the Shared documents tab from the My Accountant menu to view and download the file.
I also encourage reading this guide to help manage and track your client requests, projects, and tasks.
Feel free to leave a comment below if I can be of any other assistance. Have a pleasant day ahead.
On Mac. I’ve saved files for Accountant. How do I get them to accountant on a PC via internet
I'm here to share some information when sending an accountant's copy, hugh7.
When sending an accountant's copy in QuickBooks for Mac, you have to convert the file to QuickBooks Desktop for Windows.
Just a heads up, make sure both have the updated QuickBooks Desktop version so you can send an accountant's copy.
Once done, let your client convert the file back to QuickBooks Desktop for Mac.
Then, you're good to send the accountant's copy.
Let me know if you need more help when sending accountant copy. The QuickBooks Team and the Community is always here to help. Have a great day!
@EmmaM I no longer see the upload option after changing accountants. Was this function removed from QBO?
It's good to see you here in the Community, @ConsumerBH.
I'm here to guide you in finding the upload button for shared documents in QuickBooks Online.
The upload button will be visible from the Shared Documents section of the client's file that you're working on. You'll need to make sure that you're using your accountant access to see the said option.
However, if you're working on the right account and the problem continues, I'd suggest accessing your account in a private window. This can help us check if the problem is browser-related.
You can use these keyboard shortcuts:
If the button is now showing up, go back to your main browser and clear the cache. This helps to refresh the browser's settings since the program may not respond properly if there's too much cache stored in our browser. Also, you can use other compatible browsers in QuickBooks Online.
For more details about managing your client's file in QuickBooks Online, please check out this link: Add and manage your accounting team in QuickBooks Online Accountant.
Feel free to drop me a reply below if there's anything I can help you with sharing documents in QBO. I got you covered. Wishing you all the best!
I have the Accountant version of QBO and the upload button is missing for all of my clients. I cannot see the upload button and a few clients have mentioned they cannot see it either. We are all going to My accountant --> Shared Documents tab and the screen looks like the attached. I have cleared my cache as well as tried opening QBO in a private window. Any other ideas on how to solve this issue?
Hi Heather V, thanks for joining this thread. Have you already shared files with the client(s)? This is done via the 'Work' tab on the QuickBooks Accountant account, by selecting Create client request > Complete required fields > Add documents > Publish to client's QuickBooks. :)
We're having the same issue. We use to be able to share files with our accountant up until 2 days ago when we removed the accountants email and added another from the same firm. Now we are unable to share and the buttun is missing like the previous user stated.
Hi there, @joetenca.
I'm here to help make sure you can share your files with your accountant.
One of the possible reasons why there are missing options or buttons in QuickBooks Online (QBO) is that the browser you're using had a data issue. To verify, let's log in to your QBO account via a private browser. To do so, press this shortcut key on your keyboard:
Once logged in, go back to the Shared documents tab and upload the file from there. If this works, it means that you need to clear the browser's cache so the system can start fresh. If you get the same result while using a private browser, I recommend switching to a different one.
As always, you can visit our QuickBooks Community help website if you need tips and related articles in the future.
Please know you can continue to reach me here with any additional questions about sharing files with your accountant. Thanks for coming to the Community, wishing you continued success, @joetenca.
joetenca,
Prior to a recent QuickBooks update you just had to ask the new accountant to login to their QBs, they would click on your company file in their work list and then they needed to click on Shared Documents tab. After they did this, you would have the Upload button show up in your QBO . Now it seems the new accountant needs to upload something (anything) into that folder so you can see the Upload button.
Hope this helps!
Heather
It appears that once the accountant uploads a file and sets permissions for the customer to view then the customer can upload documents.
this is different than before when the customer could initiate sharing.
How does the accountant upload a file?
This is really annoying.
1. I want to share files with the accountant without them having to jump through hoops by creating a request and uploading a file.
2. The UI does not make it at all clear the accountant needs to perform any actions before you can upload a file. It says "Add some files to get started" when there is no way of doing this!"
I would feel the same way if there isn't a manner to perform a specific task within a software, @c-edwards.
In QuickBooks Online, if you invite your accountant and they already have a QuickBooks Online for Accountants (QBOA) subscription, they'll get a link to access your QBO company and do the necessary tasks in your account.
If you invite your accountant and they don't have a QBOA subscription, they'll have a chance to sign up when you send them this invitation. Signing up is free and allows them access to your QBO company at no cost to you.
Currently, the option to create a request and upload a file for your accountant is unavailable. At times, we roll out enhancements based on our customer's requests. That being said, I suggest sending a recommendation to our product developers. They'll review this idea and might consider updating it in the future.
Here's how:
