How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hi,

Can anyone tell me how I can find out the date an invoice was marked as paid in Quickbooks Self Employed?

Can't see it anywhere. Hoping I'm just not looking hard enough and it is actually possible to find out.

Thanks!

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hey there, @dan145. We're thrilled to have you as part of the Community forum and happy to help with any questions you have. It's our pleasure to provide the information you need.

In QuickBooks Self-Employed, you can find the date an invoice was marked as paid by following these steps:

  1. Log in to your QuickBooks Self-Employed account.
  2. Navigate to the Invoices tab.
  3. Look for the specific invoice in question.
  4. Click on the invoice to open it and view its details.
  5. If the invoice has been marked as paid, you should see the payment date or status indicated within the invoice details.

For visual reference, refer to the screenshot that I've attached below.

You can manually add transactions into QuickBooks using a web browser or mobile device. For more information about the process depending on how you access Self-Employed, here's the link: Manually add transactions in QuickBooks Self-Employed.

I've added some resources for more details on handling your transactions:

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Thanks for your reply @LollyNino_C , but my version of Quickbooks Self Employed does not look like that.

When I click to view an invoice this is what I see...

The date the invoice was marked as paid is not displayed anywhere.

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hi there, @dan145.

Allow me to help you where to verify the payment.

Here's how:

  1. Go to Sales and select Invoices (located at the top). Navigate to the invoice you need. The Status column shows the status of the invoice.
  2. Select the Status arrow to track the invoice.

You may refer to this article as your guidance: Get paid by your customer.

Additionally, there are ways your customers can pay you through QuickBooks through our partners Paypal or GoCardless: Record invoice payments in QuickBooks Online.

I'd be glad to help if you need further assistance with transactions. Have a great day!

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hi @AldritchM , there is no 'Sales' tab to click in Quick Books Self-Employed? Not in the version I have (I'm in the UK if that makes any difference?).

Can you post a screenshot to illustrate what you mean?

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hi @LollyNino_C  & @AldritchM

@LollyNino_C - When I follow your steps I do not see what you see. Here's what I'm doing:

1) Click on 'Invoices' in the menu on the left

2) Click on a paid invoice to view it
3) When I view the invoice the date the invoice was marked as paid is not displayed anywhere. I do not see the information panel that you show in your screenshot. Please see my screenshots below...

Invoice-Screens-2024-01-07.jpg

@AldritchM - from the links you posted it looks like you are referring to Quickbooks Online. I'm using Quickbooks Self-Employed, not Quickbooks Online.

I simply want to know how to view the date an invoice was marked as paid in Quickbooks Self-Employed.

Thanks.

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hello, dan145.

Currently, it is not possible to view the date that an invoice was marked as paid in QuickBooks Self-Employed. When an invoice is marked as paid, the program will automatically use the date it was marked as paid as the payment date. This means that the payment date displayed in QuickBooks Self-Employed will also be the same as when the invoice was created and when the invoice was marked as paid.

I suggest sending feedback to our Product engineering team on our products and services. Sharing your insights about features, functionality, usability, and any potential bugs or issues users might face can help identify areas for improvement and enhance the overall user experience. It's important to ensure that our products effectively meet the needs and expectations of our customers.

Here's how you can send feedback:

  1. Go to Assistant, located in the upper right-hand corner.
  2. Type Feedback and click the Add a feature button.
  3. Enter your request in the field.

You can find more information on using the invoicing feature in QuickBooks Self-Employed by checking out this article: Creating Invoicing In QuickBooks Self-Employed

Additionally, you can check this article, which will guide you in managing your QuickBooks Self-Employed account.: QuickBooks Self-Employed Overview.

Please let me know if you have any further questions or concerns, and I'll do my best to assist you. Have a great day!

How can I find date invoice was marked as paid in Quickbooks Self Employed?

@AileneA - Quickbooks Self-Employed is an amazingly poor product.

I already knew that it wasn't possible to enter the date that an invoice was actually paid (always thought this was a very rubbish situation indeed).

Now you tell me that I can't even view the date that an invoice was 'marked a paid'. This software is a complete joke.

All Quickbooks Self-Employed is any use for is sending invoices (and it doesn't even do that very well).

I won't waste my time reporting this to your Engineering Team, as from what I can see, no improvements are ever made. I think my time will be better spent finding an alternative to Quickbooks - so that's what I'll do.

My experience of Quickbooks customer support is very poor. Why did it take 3 responses to finally tell me that the feature I was looking for doesn't exist?

@LollyNino_C - Please can you explain why the screenshots you posted look nothing link my version of Quickbooks Self-Employed? In your version you can see when the invoice was marked as paid. I would really appreciate an explanation as to why your version is different to mine.

How can I find date invoice was marked as paid in Quickbooks Self Employed?

I can help you with the display of QuickBooks Self Employed to clear up any confusion you may have, @dan145.

Please know that our Engineering Team considers suggestions based on the number of user requests. That's why improvements take time.

Let me know what specific concern you need help with so that I may be able to assist you better. Rest assured that I'm eager to address any questions or provide troubleshooting to issues you may be experiencing.

We only have one version of QuickBooks Self-Employed, so the product used by my colleague @LollyNino_C is the same as yours. The Invoice activity content of the panel where you can see the Paid status and Marked as paid date will show if you select the invoice, not the View option.

Here are some snippets for clarification:

You'll want to check out this reference to learn more about the correct line of your Schedule C for a specific transaction: Categorise transactions in QuickBooks Self-Employed.

If you'd like to explore using rules for your recent and past transactions, refer to this guide: Create rules to speed up reviews in QuickBooks Self-Employed.

Feel free to keep in touch if you need more guidance viewing or managing invoices. I'm determined to get this resolved. Take care always.

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hi @JamaicaA, thanks for providing the screenshot and the explanation. I now understand how I'm supposed be able to view the panel that displays the invoice activity, but there is a problem...

When I click anywhere in the area that you highlighted in red, absolutely nothing happens - the panel does not appear. I've tried in 3 different browsers (Chrome, Firefox & Microsoft), but nothing happens.

Thanks for bringing this one to our attention, dan145.

I've replicated this one on my end and the invoice details panel appears once one clicks the invoice transaction. See the screenshot for your reference.

Since you already logged in to your account using an incognito browser to better isolate the issue, we can return to your default browser and clear its cache. Every so often the cache becomes overwhelmed with older data which can potentially cause viewing and performance issues. Clearing it will refresh the system, and you'll be able to work with a clean slate. Switching to another compatible one to help rectify the issue.

If the same thing happens please contact our Customer Support Team. They'll pull up your account in a secure environment and investigate what's causing this odd behavior in QBSE. Here's how:

  1. Go to Help.
  2. Tap Contact Us.
  3. Enter Unable to send an invoice with an error message in the What can we help you with? field.
  4. Click Let's talk.
  5. Tap Get a callbackChat, or Call us.

You can look this up if you need help with your categories: Categories in QuickBooks Self-Employed.

Let me know if you have additional questions or anything else that I can help you with. I appreciate you for bringing up your concern. Take care always.

How can I find date invoice was marked as paid in Quickbooks Self Employed?

Hi @RCV

Just to let you know, I tried your suggestions - I tried clearing cache, and I also tried opening Quickbooks in an Incognito window. Neither worked. The invoice details panel still doesn't display.

So I guess I'll have to try contacting the Customer Support Team.
