Hi there again, m-toye-books,
I appreciate you getting back to the Community and providing additional information.
If I may ask, have you updated any information about that employee? If yes, then you'll have to send the payslip again to your employee.
Make sure that the employee will enter the following information provided by TaliaI.
However, if you've not updated any information, to further isolate the issue, you can download the payslip via PDF file and check the employee information if it matches the password entered by the employee.
I'd appreciate if you can update me on how it goes. I'm always here to help to ensure that your employee will be able to access his/her payslip.
Hello m-toye-books,

The payslip passwords consist of:
Is the employee entering this correctly?
Thanks,
Talia
I sent him that and he says he is entering that information. No other employee has had a problem accessing theirs.

The password for someone without a NI number is not working, any ideas?
Hi SalB
The password for an employee with no NI number should be the first four characters of their surname and the year of birth. What details are they inputting?
Exactly that (all lower case) & I have tested it as well. This is on desktop
Hi SalB
Can you confirm you are entering. e.g. (using Robson as a surname born in 1978) robs1978?
Yes definitely
Hi SalB
We appreciate you have stated that the employee has no NI number however are there any details posted in the employee NI number section?
No, nothing.
Hi SalB
Is the surname of the employee entered correctly?
Yes, I have even tried changing it to your example & it still didn't work
Hi SalB

What is NI number?
Where can I get it NI number?
Thanks for joining in the thread, @Shivani. I'd like to provide some insights about the NI Number.
The NI number refers to the National Insurance Number. You can obtain this number by asking your employees. They can check payslips or P60's from a previous employer as these may contain their NI Number. They can also check any letters received regarding taxes, pensions, or benefits for Government departments.
For future reference, you can also read this module about handling payslips in QuickBooks: View, email, and print payslips after running payroll.

Hi I have an employee who also cannot access her payslip. The problem is her surname has 3 letters. How can I go around this please?
It's just the 3 letters of the surname then 4 characters of NI number.
(make sure they are using all lower case)
Hello Junior K, thanks for posting on this post, this information should help you to get your employee in to there payslips.
Payslip passwords:
You can safely send payslips to your employees via email. For security reasons, payslips are password-protected when emailed. Make sure you let your employees know that they will need to enter their unique password to open the document. The password is eight characters, and made up of the following.
First 4 letters of the employee’s surname (lowercase). If it's shorter than 4 letters use the complete surname.
First 4 characters of the NI number (lowercase). If the NI number is not there, then the employee’s birth year is used instead.
If the employee’s surname is Smith and their NI number is AB234455C, then their password would be smitab23. For surnames less than 4 letters, for example their surname is Or and their NI number is AB345678C, the their password would be orab34.
Note: If the password doesn't work for an employee, double check that their surname and NI number and correctly set up in the employee's settings.
