What should be included in an invoice?
A clear, well-structured invoice ensures your customers understand exactly what theyโre being billed for while helping you stay organised. Hereโs what each section of your invoice should include:
|
Header |
Your header should state the documentโs purpose clearly. It typically includes key details like the invoice title, date, and due date. |
|
Logo |
Adding your business logo makes your invoice look more professional and reinforces your brand identity. If you donโt have a logo, the invoice is still valid as long as all essential details are included. |
|
Business name |
Include your full business name and contact information so clients know exactly who issued the invoice and how to reach you if they have questions. |
|
Client details |
List the clientโs name and contact information, including their address, phone number, and email.ย |
|
Invoice number |
An invoice number is a unique identifier that helps you organise multiple invoices and track payments. You can use your own numbering system or let invoicing software generate this automatically. |
|
Invoice data |
The invoice date shows when the document was issued and helps clients understand when payment is due. This is essential when managing multiple invoices or applying specific payment terms. |
|
Description of product/service |
This provides a clear breakdown of each product or service supplied, listing the item name, unit price, and quantity.ย |
When to send an invoice
You should send an invoice as soon as the work is completed or the product is delivered, ensuring your client receives it while the details are still fresh. Once your invoice is ready, you can:
- Email the invoice as a PDF attachment, allowing your client to open, review, and save it easily.
- For a more advanced solution, use Intuit QuickBooks Online. Our advanced software makes it possible to:
- Send invoices directly from the platform
- Track whether theyโve been viewed or paid
- Add a Pay Now button to speed up payments
- Sending invoices through Intuit QuickBooks keeps everything organised and helps you get paid faster.
What are the different types of invoices?
Invoices come in several formats depending on the job, payment terms, or stage of the project. Common types include:
- Standard invoice: A general invoice requesting payment for goods or services already provided.
- Pro forma invoice: A preliminary bill sent before work begins, outlining estimated costs.
- Recurring invoice: Automatically issued at regular intervals for ongoing services.
- Commercial invoice: Used for international shipments to declare the value of goods.
- Timesheet invoice: Based on hours worked, often used for hourly or contract services.
- Credit invoice: Issued when giving a refund or reducing the amount owed.
- Debit invoice: Sent when additional charges need to be added to an existing invoice.
