How to use our free invoice generator

The Intuit QuickBooks invoice generator includes a wide range of settings that you can customise. Follow these steps to create an invoice online:

  1. Fill in the fields for โ€œInvoiceโ€, โ€œBilled Byโ€, and โ€œBilled Toโ€.ย 
  2. Select โ€œAdd Business Logoโ€ to upload an image of your companyโ€™s logo (optional).
  3. Fill out the fields in the โ€œProductโ€ section. If you want to remove a field (such as โ€œQuantityโ€ or โ€œRateโ€), uncheck the boxes in the โ€œInvoice Settingsโ€ panel on the right.
  4. The โ€œGST Amountโ€ and โ€œShipping Costโ€ rate can be set in the Invoice Settings panel.ย 
  5. Select โ€œAdd Notesโ€ if you want to include any other information or payment terms.
  6. Select โ€œAdd Signatureโ€ to sign the invoice or create a space for your client to sign (if needed).
  7. You can change the look of your invoice by selecting โ€œInvoice Theme Customisationโ€ in the โ€œInvoice Settingsโ€ panel.
  8. Select โ€œPreviewโ€ to see your draft invoice or โ€œDownloadโ€ to save it as a PDF to your computer.

Header

Logo

Adding your business logo makes your invoice look more professional and reinforces your brand identity. If you donโ€™t have a logo, the invoice is still valid as long as all essential details are included.

Business name

Include your full business name and contact information so clients know exactly who issued the invoice and how to reach you if they have questions.

Client details

List the clientโ€™s name and contact information, including their address, phone number, and email.ย 

Invoice number

An invoice number is a unique identifier that helps you organise multiple invoices and track payments. You can use your own numbering system or let invoicing software generate this automatically.

Invoice data

The invoice date shows when the document was issued and helps clients understand when payment is due. This is essential when managing multiple invoices or applying specific payment terms.

Description of product/service

This provides a clear breakdown of each product or service supplied, listing the item name, unit price, and quantity.ย 

When to send an invoice

You should send an invoice as soon as the work is completed or the product is delivered, ensuring your client receives it while the details are still fresh. Once your invoice is ready, you can:

  • Email the invoice as a PDF attachment, allowing your client to open, review, and save it easily.
