Creating invoice

When I try to save an invoice, I get an error that the invoice number already exists. But I chose the ‘let us pick one for you’ option. No matter what number I put in it gives me the same error.

The error message you're seeing occurs when the invoice number you're trying to use or the number QBO is trying to assign is already associated with another invoice number.

 

First, let’s check if there is already an invoice with the conflicting number. Here’s how:

 

  1. Go to the Sales & Get Paid and select Invoices.
  2. Click the No. column to sort the list in ascending or descending order.
  3. If you find an invoice with the same number, you can either edit the invoice number to make it unique or delete the invoice if it was created in error.

 

If you want QBO to handle invoice numbering automatically and avoid these conflicts, you can turn off the Custom Transaction Numbers feature. When this feature is disabled, QBO will automatically assign numbers in sequence. Here’s how:

 

  1. Go to the Gear icon and select Account and Settings.
  2. Click the Sales tab and select the Sales form content section.
  3. Switch off the Custom Transaction Numbers.
  4. Click Save, then Done.

 

However, if you prefer to enter invoice numbers manually, you can keep the Custom Transaction Numbers feature enabled. This allows you full control over your invoice numbering system, ensuring it aligns with your preferences.
