Can you import Journal entries with sub accounts in QBO

We keep getting an error when trying to do this so just wondering if it is even possible seems weird that it wouldn't be?

Thanks for reaching out in the QuickBooks Community. QuickBooks is a versatile program that enables you to get your work done faster. I'd be happy to provide some more information on importing journal entries with sub-accounts.

 

Here are the steps you should take to import those journal entries:

 

Step 1: Prepare Your Spreadsheet before you import your journal entries, make sure everything looks correct in your spreadsheet. Your file should include the following information at least:

  • Journal Number
  • Journal Date
  • Account Name
  • Journal Debits and Credits

If your spreadsheet has new accounts, be sure to add them in your chart of accounts before importing.

 

Step 2: Import Your Journal Entries

  1. Go to Settings, then select Import Data.
  2. Select Journal Entries.
  3. On the Download page, select Browse.
  4. Find and select your CSV or Excel file.
  5. Select Open, then Next.
  6. Map your information. Your Field represents the headers on your spreadsheet. From each small arrow icon, select the one that matches a field in QuickBooks Online.
  7. Select Next.
  8. If there’s an error, edit the file and try again.
  9. Select Start import.
  10. Select Done.

Please note that you should turn off account numbers before you begin importing your journal entries. This will ensure a smooth import. The account numbers can be turned back on once your import is complete.

For sub-accounts, you can specify them in your spreadsheet by using a colon (:) to separate the parent account and the sub-account.

 

The information provided by @4Gal also includes some the information that could successfully import your journal entries seamlessly. Here is an link to our Apps to help with the import.

 

As an example, you can download a sample file from QuickBooks Online to get a full view of the required elements for a smooth import.  Here's how:

 

1. Open your Settings and select Import Data

2. Click on the Journal Entries tile

3. Hit the link to Download an example

Note;  Ensure there are no empty columns, or blank lines on your spreadsheet.

4. Prepare your spreadsheet and save it where it's easy to locate

5. Proceed with the import process.

Can you import Journal entries with sub accounts in QBO

I am having the same issue when trying to import our Payroll Journal Entry into QuickBooks. Only the subaccounts are failing, receiving the error: Line Account Invalid. (These Line Accounts don't exist in QuickBooks.)

 

I have followed your guidance in your original reply to add the parent account separated by a colon (ex. 6000 R&D: 6010 Wages), but I am still receiving the error. 

 

Any guidance on the formatting of subaccounts to have the import be successful?
