Alerts when item out of stock

How can I set it up so that if someone is creating an invoice, and an item is out of stock, it tells them it it out?  I want it to show right on the invoice as opposed to looking at a report.  I'm sure the functionality is there but I'm new to Online and can't seem to figure out how to make it work

QuickBooks Online has various features that can make running your business smoother. Inventory tracking is one of the many features that QuickBooks offers . At this time, there isn't a feature that enables you to see if an item is out of stock on the invoice. I can see how having this feature would be beneficial for you. I recommend leaving feedback by heading to the Gear icon and selecting the Feedback option. Our developers view and consider each comment as they create new features and updates for QuickBooks.

Is there any update on this?  We also need a solution to out of stock items on our invoices.  Staff don't always check the stock level and as a result items get sold that we don't have.  We used to have desktop Enterprise and it was a feature there.

Thanks for reaching out about your inventory items. QuickBooks Online is a great tool able to help you create and send invoices to your customers so they know the amount owed for your services. I can provide some information about items out of stock.

 

As of currently, there isn't a way to have an alert showing that an item is out of stock at the creation of a transaction. I can see that this would be a feature that you'd like to see to help with managing your inventory, and I encourage you to leave feedback using the steps provided in my colleague's last reply to let the developers know that this is a feature you'd be interested in having in the software.

How come QuickBooks desktop had this feature but QBO does not? I feel like we've taken a step backwards here. There should NEVER be a reason for any program to allow a business to oversell or get into the negative numbers on inventory. Before I switched to QBO I had the desktop version and I could not continue making my invoice if I was at 0 in inventory unless I did an override and that was not worth it to me. There was also never a time I was able to allow my inventory to fall in the negative number with the pop-up warning blocker.

 

Will this be an update soon since many have been asking about this feature to be brought back.

Hi there, @sundown2. We don't have a specific timeline for it just yet, but the reorder points feature is a handy way to track low inventory. While it won't trigger a notification, you'll see those alerts appear directly on your Products & services page so you can stay on top of your stock. 


Once you have this set up, you can also hover over the QTY column when creating sales transactions to see your current item or product counts. I'll add an image below for visual reference. 

 

Beyond that, I also recommend sharing your suggestion about having a pop-up reminder when your inventory products are low on stock, so you never oversell or have negative amounts on your inventory. You can send that recommendation directly to our Product Development Team by clicking the Gear icon and selecting Feedback under the Profile column.
