Quickbooks Time & Quickbooks Online Billable Service Integration GLITCHES

I have been using Quickbooks Time Premium and Quickbooks Online and Quickbooks Payroll, stumbling through the integrations despite many many fallbacks, and after a lot of time spent wasted on calls with support staff (who are doing their best, but clearly aren't given solutions to solve the software problems) and experimenting myself using the IT knowledge I have, I am now at a standstill with an unexplainable issue that is creating a huge drain on time. Here is the issue:

 

  • I created new Services Items in quickbooks ONLINE. I assigned a billable rate to each service. 
  • I used the "Custom Fields" feature in Quickbooks TIME to assign those new Service items to employees. 
  • When I approve and export their timesheets, I get a sync error message that the Service Item was created in Quickbooks TIME and won't sync to quickbooks ONLINE. This is incorrect, I did not create the items in Time. It even says in the custom fields area of Quickbooks Time that the service item fields were created in Quickbooks Online. 
  • As such, the exported time uses the default service item in Quickbooks ONLINE which has a $0 billable rate.
    • I cannot simply adjust that rate, because there are different services associated with different rates for each employee (this was my workaround since the program already cannot assign billable rates by employees, which is a huge shortcoming when dealing with construction). 
  • I used these service items and exports last week with no issue. Suddenly there is an issue after making 0 changes. 

 

The whole reason I use this integration is to reduce the amount of work spent editing. To use the workarounds of adjusting from either the "Time Activities by Employee Detail" report or by adjusting "Weekly Timesheets" is not a solution, because the integration was working for me previously and was a more seamless process.

WHY is Quickbooks time not properly recognizing that those service items were imported from Quickbooks Online, and messing up the exports? How can I fix this? 

I have already tried:

  1. using an incognito browsers
  2. clearing cookies/cache
  3. un-assigning and reassigning those service items to employees
  4. deleting the service items entirely from QBO, re-making and re-assigning them. 
  5. Editing the timesheets from Quickbooks Time after re-making the service items and the export still does the same thing.

    Someone please help! Because your support teams are divided, every time I try to ask for help with an integration issue between QB Time and QBO I get bounced back and forth with no solutions.

It's important that all your information is correctly entered in your books for your accounts to be well-balanced. QuickBooks Online is a great tool able to import information from various apps to make sure all transactions are entered into your financials. I can point you in the right direction for assistance with exporting information from QuickBooks Time to QuickBooks Online.

 

I appreciate the time you've already put into resolving this error appearing when trying to export information. For help with errors during the export process of time information from QuickBooks Time, you'd need to specifically contact the QuickBooks Time support team. They'll be able to view your items in QuickBooks Time with you in order to make sure the export process can go smoothly.
