I would like to allow an employee to be able to access all reports such as trial balance, income statement and general ledger for all accounts other than payroll accounts. I've been able to go to users/roles and give no access to the payroll module in QB but how do I make it so that they cannot print out the income statement and double click on salary expense and be able to see everyone's pay?
Hi Rainbow789,
Welcome to the Community. I trust that business is going well on your end. QuickBooks is a user-friendly program that simplifies the way you handle your payroll. I'll be happy to share more info so you're on the right path.
It's important to note that the function you've described above isn't available in the program. I can see the benefit of having this feature and I encourage you to send feedback about this to our engineers. You can do this by clicking on the Gear icon and looking for Feedback. Here's an article with more info about: User roles and access rights in QuickBooks Online.
Let me know if this info helps by leaving a comment below. I'll be a message away in case you need further assistance. Otherwise, I wish you a great rest of the week.
So basically there is no way of keeping confidential the bi weekly salaries of all staff from the new accounting staff member?
The only option I see is that, the Controller can allow "no viewing or editing" access to the payroll module but problem is: the staff member can still double click the salary expense account when running the trial balance or income statement and be able to see the details of everyone's salary!
The article link that you have provided is for Quickbooks online - we are using Quickbooks Desktop Enterprise to do our company payroll. Protecting confidential information such as employee salaries, so that only senior staff such as Controller can see this - is a pretty integral control in any accounting department; how are other Companies using Quickbooks Desktop managing this???
