Assign, remove, or change a primary administrator in QuickBooks Online

As a business owner, you may need to assign, remove, or change the primary administrator for your QuickBooks Online account. The primary administrator has full access to the account and can manage other users, so it's important to help ensure that the right person is in this role. Here's how to assign, remove, or change a primary administrator.

Step 1: Find the Manage Users page

Sign in to your QuickBooks Online account, select the Settings (gear) icon, and then select Manage users. This is where you'll manage all aspects of your users' access to your account.

 

Step 2: Assign a primary administrator

To assign a primary administrator, in the User Type column, select Edit to change their role to admin. Select the small arrow in the Action section. Then, select Make primary admin. Select Make primary admin again to confirm the change.

 

Step 3: Remove a primary administrator

To remove a primary administrator, you'll need to assign another user as the primary administrator first using the instructions in Step 2. Once you've done this, you can remove the previous primary administrator's access by selecting Edit ‌next to their name and selecting Remove access.

 

Step 4: Change a primary administrator

To change a primary administrator, you'll need to assign another user as the primary administrator first using the instructions in Step 2. Once you've done this, you can remove the previous primary administrator's access and assign them a different role in the account.

 

Step 5: Troubleshooting issues

If you encounter any issues while assigning, removing, or changing a primary administrator in QuickBooks Online, there are a few troubleshooting steps you can take. Here are some common issues and their solutions:

 

  • Issue: You can't assign someone as the primary administrator.
    Solution: Make sure that the person has the necessary permissions to be a primary administrator.
  • Issue: You can't remove a primary administrator's access.
    Solution: Make sure that another person has been assigned as the primary administrator before removing the previous one's access.
  • Issue: You're having trouble changing a primary administrator.
    Solution: Make sure that another person has been assigned as the primary administrator before changing the previous one's role.

 

By assigning, removing, or changing a primary administrator in QuickBooks Online, you'll be able to make sure that the right person has access to your account and can manage other users effectively.
