Hi jacques-tessier.
Mistakes happen and sometimes aren't always noticed but that's why QuickBooks Online lets you pull up and edit transactions quickly. I'd be happy to help you get back to business with getting this transaction corrected.
It sounds like you have a closing date set up in your QuickBooks Online. A closing date is a lock to prevent changes being made after a certain date to prevent issues with the accounts. I recommend reaching out to your accountant or whoever set up the closing date to prevent any negative impacts on your books. In order to remove the closing date you'll need to go to: Gear>Accounts and Settings>Advanced>Accounting. This'll allow you to toggle the closed books as off. Once that's done you can edit your transactions without it asking for a password.
If you have any questions let us know and we'd be happy to help.
I don't have an option in the advanced accouting settings to add/modify the password. Just changed from desktop to online and this is the message I get:
... Couldn't get my screen grab to post. After our transition from desktop to online, there are a few wonky transactions that appear in random spots. I'm trying to fix them and some are older than our last closing date, so I'm prompted to give the password. The last one used in desktop does not work in QBO. I went to the advanced accounting features to toggle it off and there is no option showing for this feature - no mention at all. So now I'm stuck with random weirdo transactions from previous years that were not properly reconciled at that time and they show up now.
and in all of this forum's explanations about where to find/change advanced accounting features, there's zero mention of the closing date password feature and how to deal with it.
Hi Imtired,
Thank you for providing additional information regarding the experience you're having in relation to closing the books, and entering your password. QuickBooks Online allows you to edit this feature so you can get back to what you love. I'd be happy to provide additional information here!
As previously mentioned, this feature is in the company settings and only the company admin can make changes. Here's how to make changes to the password:
1. Click on the Gear in the top right and select Account and Settings
2. Open Advanced from the left menu
3. To the right of the Accounting section hit the Edit ✎
4. To change your password, just enter a new one and confirm it
5. Hit Save and then Done when complete
Here's an article for your reference, about closing the books in QuickBooks Online.
If you have any other questions, please don't hesitate to reach back out. We're here for you!
Close the books
Hi Imtired,
Many thanks for sharing the list you're seeing, when going to the Advanced tab in your QuickBooks Online Account and Settings. You're on the right track! Next, you'll click on the edit pencil icon to the right of the section your currently viewing. You'll see the closing date, the 'password' field and the option to apply a default tax rate. Proceed to enter a new password and follow the steps to confirm it as outlined in my previous post. That should do it for you!
Let me know. I'll be close by!
The list I noted above are the only options - there is no option for a password. Close the books ? and then field for a date.- that's it. Next line is default tax rate.
