Every month we have missing transaction when we download from the bank

Hi there, rzpc.

 

I'll outline the typical reasons for missing bank transactions and guide you on where to locate them within your QuickBooks Online accounts.  

 

When you link your bank account to QuickBooks Online, it does not download transactions that are still pending. Transactions are downloaded only after being finalized and officially recorded on the bank's website.  

 

Aside from that, QuickBooks downloads the latest available transactions every day. The exact time of download will depend on your bank, but you can manually update your accounts anytime to get the most recent transactions. Here's how:

 

  1. Go to Transactions.
  2. Select Bank Transactions.
  3. Select Update.
  4. Once the update finishes, check the For Review tab to find the missing transaction.

 

There are also situations where disruptions may occur between your bank connection and QuickBooks. In these cases, QuickBooks cannot access bank transactions until you re-confirm your consent. This could also imply that any transactions that took place during the disconnection may not be retrieved.

 

To fix it, you can follow the guidelines below:

 

  1. Reconnect your bank account and reconfirm your consent again. Ensure you select the dates it expired to retrieve entries that were lost during that period.
  2. Keep an eye on it so you can refresh the connection before it expires and avoid missing out on any transactions.

 

You can also check around these tabs for possible missing transactions:

 

  • For Review: Where recent entries are placed for your review.
  • Categorised: Where transactions are placed right after you've categorised them into a different category.
  • Excluded: The tab where deleted excluded transactions are placed. Most reasons are these transactions are duplicates.

In addition, you can set up bank rules so QuickBooks will automatically categorise the transactions to save valuable time moving forward.
