Beforehand, please note that QuickBooks relies on the transactions provided by your bank. The bank balance reflects the real-time status of your account, as reported by your financial institution. At times, certain transactions may not appear in QuickBooks Online (QBO) because they haven't cleared with your bank yet. Meanwhile, the QuickBooks balance includes both bank transactions and any transactions you have manually entered in QuickBooks.
The common reasons why the bank and QuickBooks balance don't match are the following:
- Outstanding/pending transactions
- New transactions for a connected account
- Duplicate transactions
- Edited or deleted transactions
- Credit card (liability) account
To resolve discrepancies, you can categorize and match transactions using your bank statement.
