I switched a client from Ceridian to QuickBooks Online Standard Payroll mid-year.
Some of the employees had been terminated but had been paid in 2020. I want to enter these employees into QuickBooks so that I can generate all the required T4's for 2020.
However, I had only entered the current employees into QuickBooks and processed the first payroll run. Now when I add the old employees, I cannot enter the historical data for these employees.
Is it possible to add these old employees and their historical data without affecting the G/L?
Or am I going to have to do their T4's and the T4 summary manually for 2020?
Hi Jen45,
I know how vital it is to prepare all the necessary tax forms for your employees, such as their T4 form. It's great to hear that you've made the switch to QuickBooks Online and Standard Payroll. You're going to love all the convenient tools the system has to offer. I'd be happy to explain how to handle previous employees as you move forward.
Typically, you'll only enter active and current employees into QBO Standard Payroll. If you've got an active employee who's year-to-date information needs to be updated after already submitting a pay run, our tech support team can make the necessary edits in the back-end.
If you're not planning on running payroll for your past employees, and you'd simply like to add them in order to product their T4, the system won't be able to accommodate that. For those employees, you'll have to manually put together the T4s for the CRA.
I know how important it is to get everything started on the right track with a new accounting software, so if you need a hand with anything else, our tech support team is always here to help.
Cheers.
Thanks for the reply, Addie.
I could have entered the old employees before running the first pay run, but I did not have all of their SIN's from Ceridian.
Is there any way to deactivate payroll, re-enter all the employees with their historical YTD's then reactivate payroll? That would be easier and less time consuming than having to manually generate 7 T4's and manually calculate, create, and file the T4SUM.
At this time, there's no way to deactivate payroll in order to redo things. If you're looking for alternatives, I'd encourage you to reach out to our tech team from here. They'll be able to look at what's been done already in your account in order to get you back on track.
