Welcome to the Community space, Allen. Thank you for letting us know that your 2025 payroll data didn’t migrate from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). I understand how important it is to have an accurate historical record to avoid discrepancies. Let me provide the steps you can take.
If you're new to QuickBooks Online Payroll and have already paid your employees this year, you’ll need to enter their pay history during the setup process. This information is important because it will be reflected on their T4, Relevé-1, and other payroll tax forms. Entering this data correctly helps ensure compliance with tax regulations and provides a complete record of your employees’ compensation.
For detailed instructions, check out the article Add pay history to QuickBooks Online Payroll (QBOP). This resource explains how to access your pay history information, complete the setup, enter payment details for how you've paid your employees this year, and make edits to your pay history if necessary. If you've already created paychecks, I recommend contacting our Payroll Live Support team for assistance in making changes to your pay history.
If you’re trying to record historical payroll tax payments in QBOP, there’s another article available to help guide you through the process. It provides the information needed to document tax payments for periods before you started using QuickBooks Payroll: Enter historical payroll tax payments in QuickBooks Online Payroll.
In cases where payroll data, including employee information, is unavailable for migration, the only option is to manually enter each employee’s details into the system. This includes key information such as salaries, withholding details, and other relevant payroll data. While this might take a bit of time, it ensures your employees’ historical information is accurately recorded and reflected in your payroll system.
If you have any additional questions or need clarification, you’re welcome to share your concerns in the comments below. We’re here to provide the support and information you need to ensure everything runs smoothly. Have a great day ahead!
What QB Desktop year version did you use? Can you use the trial version to access your historical data?
