I need to change an initial payroll date for quickbooks online. I payed Dec 2024 payroll on Jan 2nd Quickbooks put it under Jan 2025 payroll. It's messed up my T4's.

I have it corrected with CRA. This is the 2nd year Quickbooks has done this to me. I called in last year to them with no success at all. The person I spoke to had no idea and I had to Pay CRA penalties.

I need to change an initial payroll date for quickbooks online. I payed Dec 2024 payroll on Jan 2nd Quickbooks put it under Jan 2025 payroll. It's messed up my T4's.

It sounds like an error in how the payroll date was recorded in QuickBooks Online (QBO). Since payroll transactions can heavily affect tax documents like T4s in QBO Canada, it's crucial to ensure they are recorded correctly, richybcontracting.

 

This is not the impression we want you to experience last year. It must have been stressful to deal with someone who couldn't help you and have to face penalties from the CRA on top of that. It's completely understandable to feel disappointed and let down in that situation.

 

To resolve this, we need to delete or void the incorrect payroll payment by logging into QBO and navigating to the Payroll section. Then, locate the payroll transaction recorded for January 2nd, 2025. Depending on the specifics of the transaction, you'll either void or delete it. This can often be done by clicking on the transaction and selecting the appropriate action at the bottom or within the transaction menu options. 

 

If you need to delete it, we need to recreate the ones you need in pay date order from the earliest date to the present. When you recreate them, our system automatically recalculates taxes and forms. However, if you delete or recreate paycheques for a period in which tax payments have been made or forms have been filed, you may have additional tax payments due or credits owed. There are some types of paycheques you can't delete yourself. In this case, we recommend contacting our Payroll Support Team to help you with this one. 

 

Once done, process the payroll again but ensure the dates are correct this time. When re-entering, make sure that the payroll period is December 2024, and that the payment date. While it can reflect disbursement in January if paid late, is recorded accurately to ensure it's reflected in the correct tax year (2024). Then, ensure all dates (pay period, check date, etc.) accurately reflect the intended period. You can follow the steps in this article on how to create a paycheque: Create and run payroll.

 

Then, we need to update or review the T4 information. In the Payroll Center, ensure you check the T4 summaries for your employees to confirm that the correction has been properly reflected. If you’ve already generated T4 slips or summaries, you may need to regenerate these to reflect the corrections. By following these steps, you should be able to correct the payroll entry and ensure that your T4s are accurate for the 2024 tax year. Always double-check entries to ensure that payroll periods and payment dates are accurate moving forward.
