Can I customize an receipt form so it includes the extra information I need to include for a tax receipt. We are a charity. We have a PDF tax form can I import it?

Hi there, 

 

Congrats on your first post in the Community. It's important you're able to customize your receipt. I'd be glad to give you a hand with this. 

 

QuickBooks makes it easy to add a custom field which will show the important info you'd like your clients to see. If you use QuickBooks Online Plus, or Essentials, you can create your own custom fields on invoices, sales receipts, refund receipts and credit memos. Here are the instructions for adding a custom field:

  1. Go to Settings ⚙️.
  2. Select Account and Settings.
  3. Select Sales under Accounts and Settings, then go to the Sales form content section.
  4. Select the pencil icon in that section.
  5. Enter a Name into each dialogue box beneath the heading Custom fields and select whether you want the field to be internal (only displayed in QuickBooks), or public (displayed in QuickBooks and displayed/printed on sales forms).
  6. Select Save and then Done.These fields will now appear on your sales forms

For additional info, you can also change the basic design, layout, and info that appears on your forms. Once you create your masterpiece, save it as a custom template so you can use it any time. To customize your invoice, follow the steps below: 

  1.     Go to Settings ⚙ and then select Custom Form Styles.
  2.     Select New Style or click Edit next to an existing invoice. 
  3.     From here, you can click on the Content tab.   

The content tab will allow you to adjust the labels and width on your invoice. Here's a screenshot for reference:

I have essentials online. I need to issue Donation Reciepts. spent quite a while fritterin around with it. decided Essentials wont let me do it. I edited the "sales receipt" called it "Gift Receipt" Cannot preview, cannot find my new doc in the customer pulldowns, sales receipt does not have my edits.

It's great that you're taking full advantage of the powerful invoice customization options available in QuickBooks Online. Spending time early on to make sure everything is just right goes a long way in pleasing donors and having sales forms compliant with local laws. Using custom fields as described above makes it easy to have everything you need on your gift receipts, and I'll be happy to show you how to edit the name as well.

 

You can modify the name of your Sales Receipts and Invoices in just a few steps: 

 

  1. Go to Settings ⚙️.
  2. Under Your Company, select Custom Form Styles.
  3. Find the form you want to edit, then select Edit in the Action column.(Don't see the form you want to edit? At the top right, select the New style drop-down, then choose which form you'd like to change the title for).
  4. Under Design, give your custom template an appropriate name (example: Donations template).
  5. Select the Content tab.
  6. At the header section of the form, select the pencil (edit) icon.
  7. Under Content, check Form names.
  8. Change the name of the Invoice or Sales Receipt  to "Gift Receipt."
  9. Select Done.

Based on the error you've described, it sounds like you uploaded a custom form template. This is the best way to get your transactions to look exactly the way you need, but improper mapping can cause it not to be displayed. If you're having trouble using an imported model, this article is a great place to start: Import custom form styles for invoices or estimates
