You can export reports for the relevant date range and send them manually instead of giving them direct access to your account, Jack.
While QuickBooks Online (QBO) allows us to configure user access and permissions, restricting access based on specific periods isn't available. However, you can manually export your reports and lists as an Excel file and send it directly to the third party. Here’s how to do it:
- Go to the Gear icon and choose Export data.

- On the Reports tab, click the Pre-selected date ranges dropdown menu and select Custom.
- Set a specific period.
- Add or remove items from the Reports and Lists tabs by turning the switch on or off.
- Click Export to Excel.
- Once done, hit OK.

After exporting the lists, you have to manually review and select the specific information you want the third party to see in the Excel file. Since the system automatically exports all configured lists, it’s essential to filter out any data you wish to keep private before sharing the file.
