I am trying to do an import to a journal entry, it is telling me my account names are wrong, but I have them exactly as they are in our chart of accounts

Hi, Gloria39. Welcome to the QuickBooks Community.

 

Before importing your journal entries, ensure everything is correct in your spreadsheet. I’ll explain more below.

 

Before you start, turn off account numbers to help your import go smoothly. You can turn them back on after you finish. Make sure each journal entry line uses a parent account. If you use subaccounts, you might get a Line Account Invalid error, which means QuickBooks may not find an exact match for the account names in your spreadsheet.

 

Here’s how:

 

  1. Go to Settings and select Account and Settings.
  2. Navigate to the Advanced tab.
  3. Click the Pencil icon to edit in the Chart of Accounts section.
  4. Turn off Enable account numbers.
  5. Hit Save and then Done.

 

Another one is to ensure that your file includes the following information.

 

  • Journal No.
  • Journal Date
  • Account Name
  • Journal/Description
  • Debits
  • Credits

 

Also, special characters like commas, periods, or other symbols in the account name must match exactly.

 

If your spreadsheet includes any new accounts, add them to your chart of accounts before you import.

 

Here’s what to do:

 

  1. Open your QuickBooks.
  2. Go to Transactions, then Chart of Accounts.
  3. Select New Account.
  4. Enter the details needed.
  5. Once done, click Save.
