Item Receipts

Our company has several item receipts showing up in the Accounts Payable report that we know we have paid. Why?

Thank you for reaching out to Community.  It's important that payments received from your customers are recorded accurately to ensure the correct accounts are affected and your records balanced.  QuickBooks Desktop has various ways to record customer transactions.  I suggest having a look at the article provided to ensure they've been entered accordingly.  In addition, I recommend reviewing how to resolve potential data issues.

Item Receipts

Hi Trish,

 

The issue is in our A/P we have item receipts showing up as outstanding balance owing to vendors.  We have paid these bills using the correct process of receiving the product and then paying the bill.  How do we fix this issue without having QB's add to our inventory a second time.

 

We believe this may be happening when we receive partial orders and not the full order.

 

Thoughts?

Hi Rkresnyak,

 

Thanks for reaching back out on this thread.  Based on your updated information, if you've paid the bills after receiving the inventory and your A/P isn't balanced, it may be due to data damage in the company file.  I'd suggest testing it in a sample company to see if you get the same result.  If you don't have the same issue in the sample file, you'll need to resolve potential data issues in your Desktop account.

 

Here's how to access the sample account:

 

1. From the File menu and choose Close Company

2. The No Company Open dialog box will appear

3. Click, Open a sample file drop-down menu and select the sample business that closely matches your own

 

I'd also suggest reaching out to your accountant for additional assistance, should there be a need to adjust your inventory quantity or value in QuickBooks Desktop.  If you don't have an accountant we'll help you locate one near you.
