I filed my sales tax return but want to record the payment for later and have it included in the what you owe report

Hi there uniquepools,

Welcome back, and thanks for sharing what how you'd like to see pending sales tax payments show in your reports that outline what you owe in QuickBooks Online. I can absolutely see how this would help you with keeping on top of your bills and what you owe to various parties. I'd be happy to take a moment to go over how the sales tax module, sales tax filings, and the related payments work.

It sounds like you're familiar with the process of handling the sales tax filing itself, but just in case you need it, I've got our Community help article here for your reference. The File sales tax article walks you through the process of filing your return as well as paying money owed or recording a refund. When you hit the Mark as filed button and you have money owed to the sales tax agency, all it takes is clicking Pay later to keep the amount owed open in your sales tax centre.

With that in mind, it's important to note that the Sales Tax Centre mostly works within itself. What I mean by that is that the filing and recording of payments or refunds takes place in that area of the books. While there are specific sales tax reports in the Reports tab, the program doesn't create the amount owed as a bill the same as other transactions. Because of that, it doesn't hit the reports that show what you owe or even bill reports as you might expect they would.

Like I said, I can appreciate the use in this though, so I encourage you to share your thoughts and ideas about what we can do to enhance this process as feedback. The How do I submit feedback? article walks you through the process of sending your comments to the product development team, which are then considered in future updates.

Stop by again if there's anything else I can do to help. Wishing you the best!

I filed my sales tax return but want to record the payment for later and have it included in the what you owe report

I do understand the tax module in itself is separate but I had read in another article that there was the option to use "pay later" attached in a drop down menu,  which would perhaps somehow create a bill within the bill reports. My question is where is that drop down option because I do not see it in the tax filing module as an option. Am I missing something?

This is a great follow-up question and I can absolutely go over this. When you record a sales tax filing in QuickBooks Online where there is an amount owed, a window will pop up offering for you to pay it now or pay it later. Here's what that looks like.

So it's not a drop-down, but rather a button you'd click. When you do, the program still keeps the transactional information within the sales tax module and doesn't create a bill. Instead, you'd return to the Taxes tab and then click Record payment for the appropriate return when you want to enter that payment.

Feel free to include the article you were looking at if you'd like me to review it. It could be that it's an older article or that it's referring to a different product, so I'd be happy to check up on it to see what's going on.

In the meantime, you can use the steps above to pay your sales tax payments later and then record the payments when you're ready. :)
