Can I set up a user to be able to enter invoices to customers but not be able to see the dashboard or any financials.

Hi gjprince, 

 

Running a business means that you'll have certain financial information you'd like to keep private. I know how important it is to set up employees with limited QBO access. I'd be happy to explain how this works. 

 

There's various levels of user access and permissions that can be set up in QBO depending on your plan level.

 

These options are as follows:

 

EasyStart: 1 billable user + 2 accounting firms

Essentials: 3 billable users + 2 accounting firms

Plus: 5 billable users + 2 accounting firms

 

If you're using Essentials or Plus and you're trying to add a new billable user with restricted access, take a look at this helpful article that goes over all the different user permissions: User types and user permissions in QuickBooks Online.

 

As outlined there, you can set up a Standard Limited User (Customers and Sales), with the following levels of access:

 

This user can:

  • Enter estimates, invoices, sales receipts, credit memos, and refunds
  • Enter charges and credits
  • Create and delete statements
  • Receive payments from customers
  • Add, edit, and delete customers, products, and services
  • View customer registers and A/R reports
  • View tax rates and agency settings
  • Use and adjust tax in sales transactions and general journal entries (i.e. manually overriding calculated tax amounts)
  • Add, edit, and delete currencies
  • Edit exchange rates

This user can't:

  • Add, edit, and delete accounts
  • View bank registers
  • See total income and expense amounts on Home, Supplier, and Customer pages
  • Run tax reports or view tax history
  • Prepare a return, record a tax payment or refund, or file taxes
  • Set up new, or change existing, tax agencies in Settings
  • Set up multicurrency
  • Perform home currency adjustments

I hope this helps to explain your options. I know you were looking for a way to restrict your user from seeing any financials, which isn't quite the case with this type of user.
