How can I add late fees to unpaid invoices?

I have QBO Accountant and cannot add late fees to outstanding invoices. Do I have to subscribe to QBO Advanced just to get this option?

How can I add late fees to unpaid invoices?

I appreciate you for sharing this matter in the Community forum, Michelle. The ability to add late fees for your accountant is available only in QBO Plus and QBO Advanced versions. If you are using any of these subscriptions, let me walk you through the process of adding late fees.

  1. Navigate to the Gear icon and click the Accounts and settings.
  2. Go to Sales.
  3. Click the pencil icon in the Late fees section.
  4. Turn on Default charge applied to overdue invoices.
  5. Select either a Flat fee or to have a Percentage of the remaining balance.
  6. Enter the amount and frequency of your late fee.
  7. You can optionally set up a Grace period in the Grace period dropdown.
  8. Click Save.

Moreover, if you're using QBO Simple Start or Essentials, you will need to upgrade to a subscription where this feature is available.

For more detailed information about adding late fees, please refer to this article: Automatically add a fee for a late payment to invoices.

Once everything is settled, you can send them a customer statement that shows summaries of their invoices, payments, credits, and balances.

Let us know if you have further questions about managing late fees for your accountants or customers in QBO. Feel free to click the Reply button and we'll respond to you as soon as possible.
