How to: Add existing estimate to a new project?

Sometimes I have a simple job that turns into a larger project so I'd like to add the stand alone estimate I prepared to project that I started after the initial estimate was sent in.

Is there any way to do this without starting a new project and creating a new estimate inside it?

Thanks for the quick reply. 

 

You were close.  If I opened the existing estimate that had been created before the project... the project name wasn't in the customer pull down.  Now if I clicked MORE->COPY  only then did the project name appear in the customer pull down.

 

This seems like a bit of a workaround and really not the way it should work, but it works.

Welcome back to the Community. I'll be glad to share more info on how to add an existing estimate to a project without starting a new project. 

 

To do this, open the estimate > change the Customer name to the Project name > click Save and close. Doing this won't delete any of the line items. For more info on Projects, check out this helpful article:Set up and use the Projects feature.

Thanks for pointing that out, paul35! I'm going to bring this up with my team to make sure QuickBooks Online is working as seamlessly as possible in these sorts of situations.

 

From doing tests in my own account, I saw exactly what you were saying. I was able to get the project to appear as an option for existing transactions after creating it by logging out of my account and back into it afterward. I recommend giving this a try if you have more transactions you'd like to move.

 

Great job with finding a workaround that got the job done for the time being! It's a good idea to double check your books to make sure you don't have any duplicate transactions now that you've used the Copy feature.

How to: Add existing estimate to a new project?

First create the project. Then go to the estimate you want to add to the project, under customer choose the project name you created. BAM!!! 

 

The shipping address may change so double check that.

How to: Add existing estimate to a new project?

I'm having the same problem as to get an existing estimate into a project I have done created a project name and linked it to the customer but all my qork I did with the estimate isn't showing up when I click on the project. I'm also having trouble adding more receipts to a project that was closed. ( my husband added 2 receipts then saved and closed) and now I can't get into it to add more. Can someone help please and thank you. Oh ya I totally forgot when the estimate has payments it doesn't show up in the project it just shows all 000 for everything.

It's vital you have all transactions entered correctly so that your books can be balanced. QuickBooks Online is a great tool able to help you with tracking the profitability of your company. I can point you in the right direction for assistance.

 

If after trying the steps mentioned further up the thread, you still aren't able to move over estimates to your project, I recommend reaching out to the QuickBooks Online support team outside of the Community. They'll be able to view your screen with you in a secure setting so see the way you're trying to move them over to provide some information on how to most effectively make this change.  You can reach out to them using one of these methods:

 

Schedule a Callback or start a Chat: click (?)Help in the upper right > type and enter "Contact support" into the QB Assistant > click Contact Us > explain your situation > click Let's Talk > choose Get a callback or Start a Chat.
Social Media: Facebook and Twitter

How to: Add existing estimate to a new project?

Hello,

I am new to using the Project module in QBO and I am confused with how to get the Customer's Estimate to display in the Project associated.

 

Here are the steps that were taken:

1. Created the Customer first (we don't want to add the project unless the customer is going forward with us)

2. Estimate was sent to the customer via QBO - Note the customer has approved it verbally, but not through QBO

3. Under the Customers menu, I see the Estimate under Transaction List

4. Go over to the Projects tab for the Customer and click the Add project button

5. I have named the Project the street name of the customer

6. I then go back to the Estimate under the customers transactions, and change the customer name to the Project Name

I can get that far, but when I go back to the Project, I don't see the Estimate.  Looking at the column headers in the Project screen, perhaps I am not meant to see the Estimate there?

When I start to create invoices from estimate, will the income and costs start to populate?

 

I guess I just assumed that the transactions would display under the Project, but that does not appear to be the case. Is that correct?

If you've followed the steps above that show you how to add an estimate to a project, and you're unable to view the estimate under the project, I recommend troubleshooting this by clearing cache and cookies on your browser. Clearing cache and cookies helps with fixing most browser issues. You can do this by following the steps in this article: Clear Cache and Cookies. I encourage you to give this a try on your browser when you get a chance.

Thats a great solution! What if there are already existing invoices and expenses that have been paid?  Can I just move those over too?

Hello James4M,

 

I followed the directions to clear the Intuit cookies in Google Chrome (as far as I could, the steps were different) and I closed out my browser, then logged back in. I made the mistake of adding the Project a second time.Yikes! My understanding from a previous post that there is no way currently to remove or merge projects, which is okay for now. Looking forward to that bug fix.

 

I see the estimate and the Income and Costs are both $0.00 which makes sense, as I have not yet created the first invoice. I created a "test" invoice and lo and behold, the Income under INCOME VS COST populated! Yay!

 

Now if QBO would just fix the dynamic columns that in bills and invoices, that would be great!
